The Talent:

• Minimum 10 years of solid experience as an executive secretary or executive assistant preferably gained from a similar set up
• Current or previous experience working in the financial industry, preferably either for an investment firm, fund or investment bank
• Attention to detail and problem-solving skills, as well as the ability to think holistically to “see the big picture”
• Flexible working in terms of when work is performed as business is conducted across multiple time zones

Job Description

• Executive and Administrative Support: Provide comprehensive secretarial and administrative support for the investment team, including complex scheduling, meeting preparation, and follow-ups.
• Meeting and Event Coordination: Organize materials for meetings, manage team reporting, and handle team/office events and catering.
• Travel Management: Arrange and adapt complex travel plans, including accommodations, transfers, and conference registrations.
• Expense and Invoice Management: Prepare monthly expense reports, assist with claims, and coordinate with Finance on invoicing.
• Guest and Inquiry Handling: Serve as a point of contact for inquiries and manage guest relations on behalf of the Singapore office.
• Document Management: Oversee filing, archiving, and presentation preparation.
• Communication: Screen and respond to calls and emails professionally, using good judgment.
• Stakeholder Collaboration: Work with various departments and external stakeholders while maintaining confidentiality.
• Regional Admin Support: Coordinate with administrative teams in other locations for regional needs.
• Office Upkeep: Handle couriers, packages, office maintenance, and supplies.
• Security and Compliance: Exercise judgment on security procedures.

Responsibilities:

• Manage and control revisions of all documentation to ensure consistency of AEDAS deliverables as defined by the Team leader.
• Responsible for specific areas of the design and project development. where required by the project leader
• Assist in the process of coordination with external design teams, organizations or companies, managing its digital related aspects as directed.
• Prepare, develop and edit, under the guidance of the project leader or nominated architect, Sketches, Drawings, Models, Images, Specifications and other documents relating to a project or competition.
• Assist Architects / Designers & Project Leaders in controlling change i.e. Preparation of RVO’s and historical records reflecting change.
• Understand project statutory submissions and controls and to ensure comprehensive compliance documents are prepared as directed.
• Manage the CORENET interface for all submissions work.
• Understand and be familiar with the Singapore BIM standards and guides.

Requirements & Attributes:

• Diploma or Technical Certificate in Architecture/Building Construction
• Minimum 5 years relevant experience in architectural draughtsmanship and technical coordination;
• Proficient with the latest versions of AutoCAD, project information databases and specification writing;
• Experience in BIM and Revit will be an advantage;
• Construction drawings skills;
• Familiar with Singapore standards and e-submissions;
• Familiar with Singapore statutory requirements;
• Self motivated, organized and enthusiastic.

Requirements:

• Bachelor degree and above in Business Administration, Finance, Economics or equivalent.

• Understanding the intricacies of financial management and management.
• Excellent Leadership, communication, organisational, analytical and problem-solving skills.
• Strong crisis management and conflict mediation skills.
• Bilingual with proficiency in English and Mandarin to liaise with clients.
