The TD&C office serves as the programme office for strategic research collaborations with industrial partners. The Executive/Senior Executive will be an integral part of the programme’s team and support the large collaborations by facilitating critical aspects of the programme such as:

1. Programme and Project Management
2. Grant Management
3. Research Meeting Coordination
4. General Administration

KEY RESPONSIBILITIES:

1. Programme and Project ManagementMaintain overview of all key programme activities and operations
   Support project team meetings (internal and external)
   Liaise with project leads/members and HR, Finance, Procurement, IT, Admin, etc. as necessary
   
2. Grant ManagementMaintain relevant programme grant documents
   Provide support in collating and checking of grant documentation and processes (e.g., proposal, reporting, variation requests, fund requisitions, etc.)
   Check approved project budgets and reconcile these back against the posted transactions to ensure expenditures are allowable, allocable, and reasonable
   
3. Research Meeting CoordinationConvene meetings (coordinate meeting dates and agenda, coordinate logistics)
   Drive pre-meeting preparations (identify materials required, circulate pre-meeting materials)
   Facilitate Joint Research Committee meetings (support meeting proceedings, prepare minutes)
   Coordinate post-meeting follow-ups (track action items and follow up on implementation as necessary)
   
4. General AdministrationMaintains in-depth awareness of SERI admin and grant policies related to responsibilities
   Coordinates general administration for the programme’s teams (overseas visitor meetings, internal meetings)
   
5. Takes on additional responsibilities and projects as assigned

Education/Experience requirements:

• Degree with at least 3 years’ relevant working experience, preferably in a healthcare setting and grant / programme management
• Understanding of the local healthcare sector, as well as public grant funding and grant management preferred
• Experience working with industry partners and overseas collaborators preferred but not mandatory
• Expertise in use of MS Office (word, excel, PowerPoint etc.) and related software is a requirement

• Strong track-record in project management
• Able to think and function independently, and possesses critical thinking skills to accurately assess challenges and propose workable solutions to mitigate any identified risks
• Excellent written and oral communications skills

This position primarily manages and ensures smooth sales logistics activities and processes that is in accordance with the requirements and standards of the Company, providing full support to the Sales team.

As an independent team player with good communication and interpersonal skills in problem solving, this position handles all sales orders and the delivery processes which includes coordination with the respective internal and external stakeholders, preparation of necessary documentation, and other relevant duties in ensuring a smooth logistics flow.

This position reports directly to the Director(s) and indirectly to the Chief Corporate Officer.

Within the organization, this position has primary working relationships with the other members of the Sales Logistics team, Warehouse, Finance and Sales Teams.

Outside the organization, this position coordinates with the authorities and government agencies such as SFA/NEA as well as freight forwarders, local transporters and suppliers.

Responsibilities

• Ensure smooth order process flow from start to end and rendering full support to the Corporate Sales Team.
• Handle all sales orders including manual order entries, processing, releasing orders to warehouse for processing and arranging local/export shipments.
• Coordinate with the warehouse team on all export shipments preparation, including pre-shipment tea certification arrangement with government agencies such as SFA/NEA. (i.e. Process/cut sticker labels for affixing onto products prior to delivery for certain countries, lab testing/certification of teas, FCL/LCL loading/pick up/warehouse transfer).
• Process/Prepare full set of shipping documentation including manual Invoices/Packing lists, Bill of Lading, COO/Form D/E and/or Export Health Cert/Phytosanitary Cert with Authorities.
• Work closely with Sales Team, Finance Team (receipt of payments) and Warehouse Team.
• Provide needful logistics inquiry/information/administrative assistance to the Sales Team.
• Follow up on the processes of all deliveries.
• Additional functions as mandated by the Management or Supervisor.

Requirements

• Minimum Diploma holders
• Proficient in MS Excel & basic Words (PC Literate, Excel skills. ie. VLOOKUP, Pivot table)
• Prior logistics experience in Order Processing, Shipping Documentation, Coordination Skills, and some L/C experience is preferred.
• Independent and Pleasant Personality with Positive Attitude.
• Team player with good Communication and Interpersonal Skills in solving issues.
• 5 days’ work week

• Grants AdministrationResponsible for the processing of various types of grant submissions, adhering to the grant terms and conditions of the various grantors. The process will include the reconciliation of grant expenditure, identifying non-fundable expenditure items, conducting budgetary checks etc.
  Work closely with all stakeholders to coordinate, clarify and advise on issues related to grant processing, ensuring timely and accurate processing of grants.
  Apply accounting knowledge for the posting of grant receivables/payables and reclass of non-fundable expenses through SAP.
  Maintain proper data records of grant submissions and working papers.
  Regularly update the work schedule to report on the progress of the assigned submissions.
  Address any grant-related queries raised by grantors and other stakeholders.
  
• Grant AuditAssist the team lead in supporting grant audits, including the collation and extraction of necessary documents required.
  Liaise and follow up with various stakeholders to ensure completion of audits within the stipulated timeline with the panel of appointed auditors.
  
• OthersManage and run RPAs within Central Grant Team to ensure process efficiency for grant submissions and grant audit document extraction. The RPA administrator role will be rotated among the team.
  Maintain dashboards for management reporting using Power BI.

Specific Requirements

• Possess at least 1 to 2 years of relevant accounting experience, preferably in a shared services environment.
• Having an accountancy or equivalent finance and accounting qualification will be advantageous.
• Strong analytical, communication, interpersonal, and stakeholder engagement skills.
• Self-driven and independent and can thrive in a fast-paced environment.
• Experience in working with iGrants, IGMS, and the SAP system will be advantageous.
