Admin Executive

Job Responsibilities:

• Review and verify used car purchase and sales documents for payments, approvals, and proper documentation (export, local retail, and wholesale).
• Process full settlement for customers trading in their used cars.
• Maintain and update Excel control lists for car sales and purchase records.
• Generate invoices for sold vehicles.
• Handle payments for direct purchases of used cars.
• Manage vehicle processes such as number retention, replacement, ownership transfers, and deregistration.
• Process customer refunds for overpayments and payments for direct car purchases.
• Prepare and compile LTA purple forms for submission.
• Record bank deposits, credit card, and Nets transactions.
• Post charges related to temporary ownership transfers and other payment vouchers for used car sales.
• Calculate purchaser, car, and finance commissions.
• Ad-hoc duties as assigned

Job Requirements:

• Minimum NITEC or a certificate in Accounting, Business Administration, or a related field.

Job Responsibilities:

• Ensure all the relevant Invitation to Tender are assigned to appointed team/departments.
• Attend meetings with the team to determine/align the key responsibilities in terms of the inputs and data.
• Clarify all the feedback/response received from tern as well as internal by reviewing all bid-related data.
• Review of enquiries and contract tenders.
• Collect supportive information/data from internal sources for inclusion in bid documents.
• Prepare and consolidate quotes and proposals following ITT guidelines, completing bid documents including pricing.
