The Executive Assistant will provide essential support to senior executives by managing schedules, coordinating meetings, and preparing budget reports. This role is vital for ensuring effective communication and smooth operations within the team.

Key Responsibilities:

• Executive Support:Act as the main point of contact between executives and clients.
  Manage executive schedules, including meetings, appointments, and travel arrangements.
  Handle inquiries and correspondence professionally.
  
• Budget and Reporting:Prepare and submit budget reports, tracking expenses.
  Gather financial data for reporting in collaboration with finance teams.
  Create presentations and updates on the business unit’s performance.
  
• Meeting Coordination:Organise meetings, prepare agendas, take minutes, and distribute materials.
  Arrange logistics for meetings and events.
  
• Communication and Correspondence:Manage phone calls, emails, and messages for executives.
  Draft and edit reports and communications.
  
• Documentation and Filing:Maintain an efficient filing system for important records.
  Manage office supplies to ensure operational efficiency.
  
• General Administrative Tasks:Assist in preparing briefing documents and reports.
  Submit expense reports and timesheets.
  

Qualifications:

• Proven experience as an Executive Assistant or in a similar role.
• Proficiency in MS Office Suite (especially Excel, PowerPoint, and Word).
• Experience in preparing budget reports and presenting updates.

Job Requirements

• Assist to develop and prepare the schematic design drawings for client’s review and approval and to a stage to enable the other consultants to commence preliminary/detailed design work.
• Research and propose ‘green’ (environmentally-friendly) concepts in architectural designs, and promulgate use of ‘green’ material and equipment in designs.
• Assist to liaise with various parties for project requirements

• Assist to co-ordinate the schedule, check and monitor the status of the various competent authorities’ submission/compliance and application.
• Assist to ensure compliance to the competent authorities’ requirements and preparation of the necessary forms, calculations, letters and documents in other forms.

Job Description:

• Perform daily GL & reconciling differences.
• Bank and intercompany reconciliations, performing timely investigations and follow-up on outstanding transactions.
• Perform month-end closing of books, raising journal entries for monthly revenue and accruals, amortization, depreciation and other recurring items.
• Manage the Accounts Receivable & Accounts Payable process including booking of entries and payment, ensure the local GST is properly accounted for, including debit and credit notes.
• Prepare audit schedules for external auditors and liaison with auditors.
• Assist in preparing returns for corporate income tax, GST and other indirect taxes are submitted, payments made on time and all relevant regulations are complied with.
• Assist in other accounts work related task and cover other colleagues when necessary.
• Perform other ad-hoc duties as assigned by the Management / Head of Department.

Job Requirements:

• A recognised Diploma/ Professional Degree (Finance/ Accountancy)
• Minimum 2 years of accounting experience in handling full sets of accounts.
• Candidate with more experience is preferred.
• Detail-oriented with high level of accuracy and attention to detail.
• Strong organizational and time management abilities to handle multiple tasks and meet deadlines.
• Ability to maintain confidentiality and exercise discretion in handling sensitive financial information.
• Ability to adapt to changes and work independently and as part of a team.
• Strong technical accounting background.
• Proficient in financial software (i.e. Xero) and MS Office (Excel).
• Possess a good working attitude and sound character.
