Accounts Payable & Receivable:

Accounts Payable:

• Manage and process Accounts Payable entries.
• Verify that inventory supplier invoices are supported by Purchase Orders (PO), Delivery Orders (DO), and Goods Receipt Notes (GRN).
• Enter inventory supplier invoices into QuickBooks Online (QBO), ensuring accurate accounting entries.
• Ensure that non-inventory supplier invoices are supported by relevant documents and necessary approvals (e.g., without PO).
• Maintain an organized filing system for supplier invoices and supporting documents.
• Prepare payments to both local and overseas suppliers.
• Reconcile Accounts Payable ledgers to ensure accuracy.
• Review and reconcile monthly supplier statements.
• Maintain an efficient document filing and correspondence system.

Accounts Receivable:

• Ensure the timely collection of outstanding receivables.
• Reconcile Accounts Receivable ledgers regularly.
• Implement an organized filing system for related documents and correspondences.
• Update weekly customer aging reports by Salesman and by Company.
• Generate and print Accounts Receivable aging reports.
• Email Statements of Account (SOA) to customers at month-end.

Job Responsibilities:

Operational Support:

• Coordinate and prioritize team activities to ensure smooth operations and timely issue resolution.

• Optimize resource utilization including manpower, equipment, and energy to enhance operational efficiency.

• Prepare comprehensive reports on Preventive Maintenance completion, including details on equipment lifecycle, recommended parts replacement.

• Document any parts that were replaced during PM or on Ad-Hoc Basis
• Update the equipment list monthly during the execution of Preventive Maintenance activities

• Ensure that end-end process of procurement of require Parts for maintenance is ordered.

Customer Relationship Management:

• Assist in maintaining strong relationships with customers, dealers, and distributors.

• Collaborate with the Account Manager in addressing key customer complaints and conducting satisfaction investigations to implement improvement plans.

• Conduct training sessions for technicians, customers, and dealers/distributors on the operation and maintenance of Commercial Kitchen Equipment.

Team Management:

• Assist in training technicians as necessary to meet workload demands and quality standards.

• Supervise and manage a team of service technicians and in-house subcontractors.

Contract Management:

• Support in managing contract commitment in terms of KPI (Critical Equipment Reliability; CM Completion Rate; PM Completion Rate, Emergency Response SLA; Hygiene Audit; Compliance to Fire Safety, WSH, GRA and Security Access Requirement; Service Quality Survey).

Health, Safety, and Compliance:

•Drive EH&S initiatives, promote EHS awareness, and monitor compliance within the team.

Performance Metrics:

•Collaborate with the Account Manager to track and improve KPIs such as productivity, field expenses, and Aftermarket Service Sales revenue/margins.

Job Requirements:

• Diploma in Mechanical/Electrical/Electronic Engineering or equivalent practical experience.
• Min 2 Years of experience in a similar supervisory role within Aftermarket Service Industry
• Strong organizational and problem-solving skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Business Central or similar tools.
• Demonstrated leadership qualities and ability to manage a diverse team effectively.
• Understanding of EH&S standards and practices.
• Experience conducting training sessions for technicians, customers, and dealers/distributors on Commercial Kitchen Equipment

The job:

• Adhere SOPs in established AR and credit control processes and perform the required data entry
• Adhere to established protocols for processing receipts and handling cash.
• Update email address for E-Invoice and E-SOA
• Upload invoice to portal eg. gov.sg
• Handle billing, collection, and reporting tasks within designated deadlines.
• Respond promptly to inquiries from customers/banker and sales teams.
• Undertake accounts reconciliation of receipts
• Timely month-end closing for accounts receivable function
• Monitor and ensure healthy AR ageing report
• Follow up with the collection for non-payments, delayed payments and other irregularities
• Conduct monthly debtor meeting to discuss on the outstanding invoices with sales team

The person:

• Minimum - Diploma in Accountancy
• 2-3 years of general accounting experience. Industry experience in accounts payable and banking advantageous
• Proficient in Microsoft Excel, Word and PowerPoint. Attentive to details & accuracy. Well versed in English
