Gene Solutions is seeking a highly organized Administrative Executive to support the daily operations of the Company. In this role, you will handle administrative functions related to finance, human resources and inventory. You will be working in a startup environment and will learn valuable skills that can be applied towards a career in Corporate Services.

Responsibilities

1. Basic bookkeeping - recording of all incoming bills into the finance system.

2. Basic finance admin - processing of PR/PO, DO, reimbursements, bill payments, issuing invoices through Xero.

3. Basic HR admin - onboarding new staff, payroll - ability to maintain staff confidentiality

4. Lab inventory admin - work with lab manager to ensure stock levels are accurate in Xero

Required skills and qualifications

• Knowledge of basic financial, tax, and accounting principles
• Excellent organizational skills and attention to detail
• Proficiency with office productivity applications and aptitude for learning new systems

Preferred skills and qualifications

• Polytechnic diploma in finance or accounting
• 2 years of work experience in bookkeeping
• Familiarity with Xero

Job Duties

• Handle daily AP operation activities, timely processing of invoices and payments.
• Liaise with AP related issues with relevant department.
• Resolve any vendors' payment dispute / discrepancies.
• Ensure all expenses claims compliance with Company Internal Controls, Policies, Processes and Procedures.
• Assist to streamline processes and improve operational efficiency.
• Support GL overall analysis.
• Ad-hoc analysis or related duties as required or assigned.

Key Responsibilities:

• Perform data entry into accounting system.
• Verify supplier invoices and arrange for payments.
• Maintain proper accounting records and documentations for audit.
• Responsible for keeping track of all documents timely and accurately in SAP system.
• Perform monthly/ quarterly / yearly internal controls activity document testing.
• Prepare expenses analysis and GST report.
• Provide efficient supervision and guidance to AP staff.
• Liaise with external/internal auditors / internal users / banks etc.

Job Requirements:

• Diploma / Degree holder in Accountancy.
• At least 2 years of relevant experience in AP.
• Experiences in SAP.
• Familiar with GST rules.
• Strong analytical and English communication skills are a must.
• Conversant with the MSOffice applications. Proficiency in MS Excel and Pivot is essential.
• Meticulous, independent, pro-active.
• Able to work under pressure and tight deadlines.

Job Description

• Prepare and maintain the full set of accounts.
• Perform monthly management reports including relevant schedules.
• Accounts Receivable functions such as ensuring prompt and accurate billings, following up with delayed/non-payments, and other irregularities.
• Accounts Payable functions such as ensuring accurate suppliers' invoices, and preparing cheque/Giro payments.
• Liaise with Bank for Fixed Deposit placement/renewal and do banking errands.
• Assist and manage monthly payroll computation and CPF submission.
• Assist in year-end IR8A tax computation and submission to government authorities.
• Work closely with HR Dept on Payroll Accounting reconciliation.
• Verify staff claims.
• Verify petty cash reimbursement report generated by admin.
• Perform monthly bank reconciliation.
• Prepare GST report quarterly.
• Assist in year-end Audit/Tax matters.

Monitoring of Project

Generate weekly (WIP) Work-in-progress report to reflect revenue, COGS, labour costs and other operating expenses to derive the profitability of the week.
Ensure timely and justifiable certification of payment are provided by Clients.
Keep track of progress claim status and Accounts Receivable.

Finalization of Project

Generate report to reflect the statistics of man-hours/ COGS/ operating expenses and update to system for future reference.
Finalize payment and keep track of retention amount and time frame.
Final settlement of payment and record project reference into “Completed projects”.

Administrative Duties/ Others

Generating of invoices, payment vouchers and other related documents.
Ensure neat and tidy book keeping.
Assist with issuance of wages to workers and breaking down into the appropriate monetary denominations.
Fulfil any other ad-hoc duties as and when assigned by Superior/ Management.
Reimbursement to employees / Petty cash.
Generate weekly reports for Management review. (Progress Claim status, WIP and Accounts Receivable)
Handle GST quarterly report and filing, Form C-S/C submission.
Liaise with auditors for statutory reporting and compliance.
