Accounts Payable (AP) Analyst

Responsibilities

• Fulfill Accounts Payable service levels for internal business users and external parties, including responding to AP queries, scanning, and posting invoices

PO Management

SAP Internal Order Management

• To create SAP Internal Order for new employees.
• To create SAP Internal Order for counters when it is the first time we collaborate with a specific customer.
• To create SAP Internal Order for specific items like BC seminar.
• To make sure our internal order library is up to date and allocations are proper.

Other Account Payable, reporting and ad-hoc tasks

• To submit the deposit/Advance invoice request via the related SharePoint (Dior TR & Asia Agent)
• To provide to controlling Team the monthly extraction of P&L actual report on closing day
• To check supporting documents and create new Staff code in SAP
• To prepare local spend for Purchasing

Job Title: Accounts Assistant (ID8365)

Job Description:
-Maintain and update the general ledger.
-Record all financial transactions accurately and in a timely manner.

Requirement:

-Proficient in Microsoft Office and Dynamic accounting software. (e.g., QuickBooks, Xero, or similar ERP systems).
-Strong knowledge of accounting principles and local tax regulations.

Accounts Executive (Payable)

Working Hours : 8.00am - 5.30pm (Mon to Fri ), 8.00am - 12.30pm (Sat)

Responsibilities:

• Handle the full spectrum of Accounts Payable.
• Perform AP related duties in accordance with the cyclical calendar for processing supplier invoices, employee related expense claims and third party payments
• Prepare EFTs and run payment of suppliers in accordance with payment terms
• Respond to supplier account queries and resolve any invoice discrepancies in a professional manner
• Match and check vendor's invoices, DO, PO.
• Process payments to vendors via cheques, Giro, or TT payments — multi-currencies.
• Maintain Accounts Payable ledgers using accounting software.
• Manage staff claims.
• Undertake day-to-day and month-end accounting and reporting functions.
• Prepare bank reconciliation, quarterly GST reporting, monthly cash flow forecasts, etc.
• Provide assistance in year-end audits.

The Accounts Executive – Accounts Payable’s core responsibilities are audit, processing and timely payment of all hotel payments.

What will I be doing?

As the Accounts Executive – Accounts Payable, you will be responsible for performing the following tasks to the highest standards:

• Account for and audit all purchase orders, receive records and suppliers’ invoices (purchase invoices matching procedure).
• Ensure all invoices have proper supporting documents and authorization before processing payment.
• Prepare vouchers, including cost distributions and account codes for all suppliers’ invoices and credit memos.
• Balance suppliers’ monthly statements to the hotel’s accounts payable record.
• Answer suppliers’ and other parties’ queries relating to accounts payable.
• Prepare journal entries for month-end accruals and other adjustments.
• Prepare and maintain monthly balance sheet schedules for prepayments and accrued expenses.
• Carry out any other reasonable duties and responsibilities as assigned by Accountant.
