Job Scope :

To assist the Centre Manager in the overall daily operations of the Active Ageing Centre.

Job functions:

- To coordinate support services and organize inter-generational activities for the seniors in the identified blocks within the service cluster

- Ensure that the programs and activities meet the performance indicators and operating guidelines issued by AIC and preparation of reports

- To mentor and motivate a team of AAC staff and volunteers

- Befriending and Buddying of identified seniors

- To conduct regular outreach to the seniors in the identified blocks

- Establish and motivate seniors to run mutual help groups

- Preparation and submission of internal and external reports

- Supervision and manning of the Alert Alarm System

- To maintain and update Information and Referral Service record and follow-up actions

- Assisting seniors with letter reading, handphone issues

- Up-keeping of facilities and equipment provided in the centre

Qualification & Experience :

• “A” Level / Diploma in Community & Social Service
• At least one to two years of related working experience
• At least one to two years of Volunteering experience

Special Aptitude & Knowledge :

• People-oriented and passionate towards working with seniors and for seniors. Knowledge of the role and function of Active Aging Centre would be an added advantage.

1.Graduated from a university ranked in the top 100 of QS/US News list
2.Undergraduate or higher education from a top 10 university in the location
3.Candidates who Achieve English IELTS 7.0 or TOEFL 100 and able to communicate in Chinese. As oversea assignment will be assigned; (in order to handle queries, concerns and feedback from other language speaking counterparts regarding the training and other restaurant operation-related matters.)

• Office Management – oversee that the office is clean, productive, and organized. Ensuring that the office is organized, all the amenities are properly functioning, and the equipment is in working order forms part of the day-to-day activities of an admin executive. Admin executives ensure that the other personnel in the office can do their duties efficiently.
• Communication – handle the communication responsibilities of the office. Inbound and outbound communications pass through the administrators. Communication between various teams in the organization also passes through the administrators, who also coordinate with various suppliers for the infrastructural facilities of the office.
• Coordination – coordinate the functions of various teams to ensure collective productivity. They also ensure that the teams know each other’s roles in a project, ensure deadlines, manage calendars, etc. Admin executives also handle meetings between different departments and vendors. Furthermore, They also handle travel-related responsibilities for their employees for on-ground projects, meetings, etc.
• Administrative Support – Admin executives also provide support in various tasks around the office and are the ones that employees turn to in case of grievances and requests. They also ensure that an adequate workforce is always available for the projects.
• Documentation and Recordkeeping – Admin executive qualifications must instill the necessary knowledge in individuals to maintain the necessary records and documents the organization needs. Employee information, project details, etc., are maintained by the administrators. They also maintain records of all the transactions done on behalf of the business.
• Event Planning and Management– Admin executives assist in organizing seminars, workshops, conferences, etc., for the organization. They oversee that such events can happen smoothly without any interruptions.
• Budget Tracking – Admin executives assist the organization in tracking its budgets over various heads, such as events, inventory stocking, etc. They also maintain records of departmental expenses and various cash outflows for the organization.

Key Responsibilities:

· Experience planning and internal project management - Devise the experience plan with project team and implement it accordingly.

· Brainstorm and implement the event experience plan

· Conduct briefings to internal staff before any event

· Ensure IMAPAC presents a high-quality event on the day and continually work to improve our standard of service

· Ensure highest level of hosting events – for registration, presentation and staging, conference content and delivery, catering, special events and entertainment

· Create and review attendee lists (speakers, guests, delegates, sponsors/exhibitors) and all name badges are 100% accurate

· Help speakers, sponsors, exhibitors with the contact system

· Maintain event costs are contained and accurately managed without compromising quality of service and customer experience

· Minimise and keep accurate records of all costs: technical, speaker, venue, AV and documentation

· Submit and file all invoices

· Acquire quotes for new suppliers

· Allocate accurate operational costs in event budgets monthly; post-event budgets by budget date (get all input information/invoices before deadline)

· Timely revise experience expenditure budget according to revenue

· Achieve 100% delegate, sponsor and exhibitor payments at event – present invoices, disallow non-payer access, consistently communicate with GM

· To take up any ad-hoc task as and when required by the business
