• Maintain accurate and complete academic/student data and reports for review and submission purposes.
• Conduct student orientation and ensure timely response to students and participants.
• Liaise with finance department to ensure payments are made on time.
• Complete any service recovery and other customer related issues.
• Work with colleagues to enforce the implementation of institution and departmental policies and compliance with relevant regulatory authorities.
• General administration including programme coordination, evaluations and facilities improvements.

Requirements:

• Diploma education and above.
• Minimum 5 years of working experience within a service environment.
• Experience handling simple accounting processes.
• Effectively bilingual in English and Chinese in order to liaise with Chinese speaking parents and students.
• Team player, meticulous and organised.
• Working knowledge of Microsoft Office software.

Responsibilities

• Assist to plan and organize various activities, including but not limited to birthday parties, holiday celebrations, and social dinners, including reservations and arrangements
• Provide additional administrative support, including but not limited to administrative tasks during travel, property rental administration, and medical arrangements and accompaniment
• Calendar Management of Senior Management including travel management and planning
• Organise and schedule meetings and events, including arrangement of venues, preparing agendas and materials
• Assist in the preparation of reports, presentations, and other documentation as needed. Ensure all materials are accurate and delivered on time.
• Minutes taking and ensure timely follow up on action items
• Act as the primary point of contactfor customers i.e. handle phone calls, emails and correspondence.
• Provide administrative support, including email correspondence, document management, admin building, pantry, facilities logistics, events planning and setup
• Other admin duties – obtaining supplies, sorting/distributing mails, general office administrative tasks.

Requirements

• Fluent communication skills in both Mandarin and English
• Able to be on standby and responsive as needed
• Pleasant personality, good temperament, reliable, down-to-earth, and extremely detail-oriented
• Occassional travelling is required
• Work in office (Hillview/Newton)
• $10/hr, 3days work week between Mon-Sat, work shift (9-5pm or 12-8pm)
• One month probation with training provided $8/hr

• Administrative Support: Provide general administrative support, including managing phone calls, emails, and office supplies.
• HR Records Management: Maintain and update employee records in the HR system, ensuring accuracy and confidentiality.
• Staff Welfare Coordination: Help organize employee welfare activities, including staff events and recognition programs.
• Document Preparation: Prepare HR-related documents, such as employment contracts, letters, and reports.
• Compliance: Ensure compliance with company policies and local labor laws, assisting in audits and other regulatory requirements.
• Other Duties: Perform additional tasks as needed to support HR and administrative functions.

Key Responsibilities:

• Assist to conduct review on controls of key business processes and identify areas for improvements
• Collaborate with process owners to ensure periodic task requirements are properly conducted, tracked and monitored e.g. user system access reviews
• Administer periodic operational risk-related training for staff
• Provide administrative support for quarterly meetings e.g. preparation of agenda, collation of materials, minutes writing
• Provide support for requests from regulators and auditors.
• Perform other duties as directed

Requirements

• Diploma / Bachelor in a relevant field (e.g. Risk Management, Accounting, Finance, Business Administration)
• Minimum 1-2 years of relevant working experience in operational risk management, internal audit, compliance or internal controls
• Knowledge of business process reviews and internal control testing methodologies.
• Positive attitude, proactive and eager to learn, able to deliver within timeline and provide timely updates on work progress
• Excellent communication skills who can grasp and handle ambiguities
