Salling Search is currently recruiting for an experienced Trade Operations (Finance) Executive for a reputable commodity trading and shipping company based in Singapore.

For this role it is a must that you have the following skills, traits or past experience:

• Have at least 5 years of experience working with an international commodity trading house.
• Experience handling dry bulk commodities like coal, base metals, iron ore, bauxite, and similar commodities.
• Good understanding of issuing/receiving letters of credit.
• Experience managing credit lines and liaising with banks.
• Understanding of the entire commodity trading financial workflows.

Overview: We are seeking a highly skilled and motivated Senior Executive in Business Administration to lead strategic initiatives and optimize our operations. Key Responsibilities:

Strategic Planning:

• Develop and implement strategic plans that align with organizational goals and objectives.

Operational Oversight:

• Oversee daily operations, ensuring efficiency and effectiveness across all departments.

Financial Management:

• Manage budgets, financial forecasting, and reporting to ensure fiscal responsibility and profitability.

Stakeholder Engagement:

• Build and maintain relationships with key stakeholders, including clients, vendors, and senior management.

Performance Metrics:

• Establish and monitor performance metrics to assess organizational effectiveness and identify areas for improvement.

Project Management:

• Oversee major projects from inception to completion, ensuring alignment with strategic objectives.

Administrative Responsibilities:

• Manage schedules, appointments, and communications for senior management.
• Organize and maintain files, records, and databases, ensuring accuracy and confidentiality.
• Facilitate internal and external communications, acting as a liaison between departments.
• Assist in the development and implementation of administrative policies and procedures.
• Monitor product stocks and coordinate procurement as needed.

Qualifications:

• Bachelor’s degree or Diploma in Business Administration or a related field
• 3 years of experience in business administration, management, or a related field.
• Proven experience in leadership roles with a strong understanding of business operations.
• Excellent analytical and problem-solving skills.
• Strong communication and interpersonal skills.
• Proficiency in project management and Office Suites.
• Ability to work in a fast-paced, dynamic environment.

Role:

• Assist in preparing and reviewing technical reports and maintenance records.
• Support the Fleet Manager in organizing and monitoring maintenance schedules and repair activities.
• Track and address technical issues, ensuring timely resolution and proper documentation.
• Update and maintain technical documentation, including manuals, compliance certificates, and safety records.
• Ensure vessel operations adhere to maritime regulations and industry standards.
• Assist in preparing documentation for inspections, audits, and regulatory evaluations.
• Serve as a point of contact between ship management, crew, and shore-based technical teams.
• Coordinate with suppliers and contractors for procuring parts and services, when required.
• Arrange and participate in technical meetings, providing necessary support.
• Assist in analyzing technical data to identify trends and suggest improvements.
• Contribute to the development and implementation of technical procedures and best practices.
• Provide support during emergencies, such as technical failures or incidents, aiding in troubleshooting and resolution.

Requirements:

• Degree or diploma in Marine Engineering, Mechanical Engineering, or a related discipline.
• Previous experience in ship management, marine engineering, or a related technical field is advantageous.
• Solid understanding of shipboard systems and technical operations.
• Competence in handling technical documentation and managing data.
• Strong communication and coordination abilities.
• Capable of managing multiple tasks under pressure.
• Relevant maritime certifications or qualifications are desirable.

Job Scope

1. Perform completeness check on audit confirmation request form/online request from customers/auditors

2. Daily process/data input of customer request on timely and accurate basis

3. Verification of customer/auditor instructions against bank records.

4. Attends to enquiries from stakeholders pertaining to request handling.

5. Manage exception case sand escalate to team lead if necessary.

6. Reconciliation and all adhoc task
