Assists the Department in providing professional services on corporate secretarial matters for a portfolio of clients, including incorporating and managing corporate structures.

KEY RESPONSIBILITIES

• Assists in providing company secretarial services to a range of clients;
• Supervises the handling of full set of routine company secretarial documents;
• Communicates with clients independently;
• Oversee issuing of invoices and ensuring payments are made;

Responsibilities

• Ensure smooth order process flow from start to end and rendering full support to the Corporate Sales Team.
• Handle all sales orders including manual order entries, processing, releasing orders to warehouse for processing and arranging local/export shipments.
• Coordinate with the warehouse team on all export shipments preparation, including pre-shipment tea certification arrangement with government agencies such as SFA/NEA. Our client is seeking a highly organized and intelligent Executive Assistant to provide top-tier support to senior leadership. The successful candidate will be responsible for handling various administrative tasks, including email management, PowerPoint presentations, and travel arrangements, while maintaining confidentiality and integrity. This role demands a proactive individual who excels in multitasking, follow-ups, and coordinating both internal and external gatherings.

Responsibilities:

• Manage and organize emails, ensuring timely responses and proper follow-ups.
• Prepare professional and engaging PowerPoint presentations for meetings and events.
• Coordinate air travel arrangements, including booking flights, hotels, and transportation.
• Plan and organize gatherings, both internal and external, ensuring smooth execution.
• Keep track of name cards and maintain a well-organized contact database.
• Handle follow-ups on various tasks and ensure deadlines are met.
• Maintain confidentiality in all communications and operations, ensuring sensitive information is securely handled.
• Support senior leadership with day-to-day administrative tasks as needed.

Requirements:

• Strong proficiency in managing emails and creating PowerPoint presentations.
• Experience in coordinating air travel and organizing events or meetings.
• Ability to handle multiple tasks and prioritize effectively.
• High level of integrity and ability to keep sensitive information confidential.
• Excellent communication and follow-up skills.
• Organized, detail-oriented, and able to manage name cards and contact information effectively.
• A proactive approach to problem-solving with strong decision-making abilities.
• Previous experience in a similar role is preferred.

• Involved in the entire recruitment process, from identifying operation needs to sourcing workers.
