Job Duties:

- Answer incoming phone calls, take detailed messages, and direct calls to the right people.

- Familiar with shipping matters/documents from forwarding agents

- Process and file Purchase Orders to ensure purchases are made on time and correctly & monitor ETA

- Manage Delivery Orders by tracking them the Goods Received Notes (GRN)

- Organize and keep track of Receiving Reports, shipping documents, and invoices – update in NAV system

- Print invoices from main suppliers

- Fill out and submit order requisition forms weekly for approval

- Assist to provide documentation for GST permit declarations

- Keep precise records and documentation for auditing (scan documents)

- Help with other office tasks and special projects when needed

- Buddy system on AR/invoicing

Qualifications:

- Experience in administrative and procurement roles

- Strong organisational skills and attention to detail

- Excellent communication and interpersonal skills

- Proficient in using office software and relevant applications

- Ability to prioritise tasks and work independently, with initative

- Knowledge of procurement processes and documentation is a plus

• To assist Operation Manager on the daily deployment for the workers, including planning of logistics for the workers to and back from job site
• To record, maintain and apply for the following passes for workers before expiration;

1. Jurong Island Pass
2. Mandatory safety passes
3. Mandatory training courses

• To maintain a good inventory records for all PPE and ensure all records are in order for audit purposes.
• To order, prepare and distribution of PPEs to the employees.
• Collection of timecards/timesheets from employees every month end and ensure that the records are in order before handling over to the Accounts
• To check on mandatory courses, compare and enroll the workers as assigned
• To assist on any ad-hoc operations' related matters as per assigned by the Operations Manager

Office Administration:

• Standardize and manage daily office operations.
• Responsible for the procurement and management of office supplies and facilities.
• Maintain filing and document management for administrative forms, contracts, and certificates.
• Record administrative expenses and coordinate with the finance department for cost accounting.

Activities and Coordination:

• Assist in organizing company events, such as team building, D&D.
• Coordinate employee activities and distribution of holiday gifts.

C-level Support:

• Provide administrative and secretarial support to the CEO and management team.
• Manage apartments for expatriates.

Ad-hoc:

• Assist with account applications for employees and onboarding/offboarding processes for new employees.
• Draft and publish internal notices and general administrative documents.
• Ad-hocs assigned by management.

Job Requirements:

• Fluent in both Chinese and English.
• Able to write and speak in Chinese fluently as to communicate well with the stakeholders
• 1-2 years of relevant administrative work experience.
• Strong organizational and multitasking skills.
• Proactive, detail-oriented, and able to work independently.
• Good communication and interpersonal skills.
• Proficient in Microsoft Office software (Word, Excel, PowerPoint).
