Scope of Works:

Infocomm Club CCA Duties

• To support Infocomm Club CCA by providing training to the students on the use of AV equipment and media editing.

Audio-Visual (AV) Duties

• To carry out the work assigned by ICT Manager or HOD/SH ICT, act as the AVA Executive for the school and provide AV technical support for teaching and learning purposes as well as school events, including but not limited to setup of projection, sound system and control room operation.

The Centre Management System Support, Executive/Senior Executive is responsible for overseeing the upkeep, procurement & maintenance of all exhibits, audio-visual equipment, facilities and essential services for daily operations for centres/museums under Defence Collective Singapore (DCS).

RESPONSIBILITIES

• Maintenance Planning: Planning and implementation of building maintenance programs for architectural, electrical, and mechanical, exhibits and attractions AV lighting systems. Co-ordinate and liaise with internal and external vendors for the execution of maintenance services. Conduct joint inspection rounds with Specialists/Technical Officers on building/Exhibit/AV & lighting defects.
• Safety Compliance: Ensure compliance with safety equipment, work methods, and procedures. Promptly rectify any unsafe situations, adhering to Workplace Safety and Health (WSH) regulations. Be responsible for implementing Company’s SOP and policies including compliance to QEHS policies. Conducting regular checks on the entire building to ensure the prompt removal of fire hazards, proper functioning of fire escapes, fire doors, and obstruction-free access.
• Supervise Works: Control and supervise all AV Lighting and exhibition related works performed by Specialists/Technical Officers and contractors, including those carried out by tenant's fitting out contractors. • Repairs and Emergency Situations: Responding to emergency situations & troubleshoot sound and video and ensuring prompt repairs of property facilities. Providing updates to Centre Management team with regards to the situation.
• Procurement: Manage budgetary control of expenditures including preparation of annual budgets and forecast. Conduct tender exercises for OPEX/CAPEX works such as replacement, upgrading or redevelopment works and manage such works according to timeline including putting up of documents and procurement for OPEX/CAPEX requests.
• Daily Operations: Responsible for the coordination of meetings and events such as logistics support, obtaining quotations, raising of invoices etc. Conduct regular inspection of the centre to ensure high standard of cleanliness and service are provided by term contractors related to cleaning, landscape, pest control etc.

The Job:

• Minimum 3 years’ experience in manufacturing sales (Recyling company expereince background needed)
• Actively seek out new sales opportunities through any channels including but not limited to, cold calling, networking and visiting.

RESPONSIBILITIES

• Supports the organization through the implementation of HR programmes and activities.
• In charge of payroll processing, ensuring accuracy of payroll records in the HR system, and aligns with MOM guidelines, and internal policies and procedures.
• Submit tax clearance and IR8A .
• Work closely with HR & Admin Manager to review and revise HR policies, processes in line with company goals.
• Handle in recruitment activities including posting of job advertisement, screening of resumes, interview arrangements and selection.
• Responsible for work pass related matters; applications, renewals, cancellations, etc.
• Hande onboarding for new hires and offboarding for resigned employees.
• Responsible for the preparation of letter, including but not limited to Letter of Appointment, Confirmation, etc.
• Update and maintenance of employee Personal file and information in the HR System.
• Monitor and prepare appraisal form for confirmation, work pass expiration and renewal of the contract.
• Administer leave benefit and medical reimbursement.
• Facilitate and provide support for grant application, coordination, checking and submission to relevant government agencies across group of companies.
• Collaborate, plan and execute employee engagement events and Corporate Social Responsibility (CSR) events.
• Handle HR and Sustainability reporting.
• Any other ad hoc duties assigned.

REQUIREMENTS

• Minimum Diploma in HR or Business-related disciplines, or

I. Job Responsibilities

1. Manage daily and routine department administration and operations at HQ.
2. Provide support to Joint Ventures(JVs) representatives stationed in China.
3. Aid in collection of financial reports, sort and analyse relevant financial matters.
4. Handle overseas travel matters for the team members, i.e. TR-form preparation/submission, visa application and trip claim.
5. Assist in drafting minutes of meeting/documents/letters in Chinese (and/or English).
6. Perform filing/archive/sorting of JV BOD and related official documents.
7. Make arrangements for personnel from other countries to visit China and vice versa.
8. Undertake any ad-hoc duties when necessary.

II. Job specifications / minimum qualifications

1. Diploma or degree holder in BA/HRM with at least 2 years’ relevant experience.
2. Proficient in Mandarin (good written and verbal communication skills) in order to communicate effectively with JV staff or outside parties on matters related to EnGro’s China business. Good English language skills will be an advantage.
3. Willing to learn and understand China/Chinese culture.
4. Able to multi-task or handle works under tight timeline.

This position reports to the General Manager (Administration) and to provide adminstrative support.

• Perform company's general administrative functions.
• Assist in all training-related matters.
• Procure and manage office & pantry supplies, sundries, stationeries, office equipment, personal protective equipment (PPE), etc.
• In-charge of office facilities management including operation related maintenance and contracts matters.
• Liaise with vendors to support project executions and verify vendor invoices against tasks completed before submitting for timely payment to vendors.
• Manage company's accreditation programs with regards to maintenance of quality records and ISO management programs.
• Handle ISO document control process to ensure documentation is up-to-date.
• Assist in organising / coordinating company events and activities.
• Any other ad-hoc duties, as and when assigned.

Job Requirements

• Good working knowledge of MS office (Word, Excel, Powerpoint).
• Good command in written and spoken English & Mandarin (to handle mandarin speaking vendors).
• Previous experience in handling ISO/ Bizsafe is an advantage.
• An organised and pro-active team player who is able to work with minimum supervision.
• 5-D work week.
