Reporting to the Head, Administration, the incumbent will play a pivotal role in providing comprehensive administrative and logistical support for the Communication and Events (C&E) team. The primary aim of the role will be to facilitate smooth operations, ensuring the seamless and timely execution of events and communication strategies to deliver exceptional experiences to stakeholders.

Responsibilities

Work with the C&E team on related matters but not limited to:

Communication and Events

• Provide fresh insights and ideas to enhance the strategic workforce planning for events

• Liaise with both internal and external stakeholders on communication and events related matters

• Provide logistical support during preparations for events

• Process student assistant claims and assist in procurement related matters, assist in budget projection and managing budget utilisation for C&E

School Visits

• Take charge of the planning and execution of outreach and admissions related school visits

• Liaise with Office of Admissions for potential school visits from JCs, Polys or IB schools, and the school coordinators in charge of the visits

• Coordinate with Tech team to set up demos as part of the school tour

• Identify and engage suitable students or faculty for the visits

Student and Alumni Engagement

• Provide support in terms of vetting submitted proposals for all student-initiated and/or alumni events, event execution, procurement, handling post-event claims and expenses, and tracking event budgets.

• Maintain and monitor AC-Students and Alumni role-based email account

• Assist with communication materials to students and/or alumni

• Follow up closely with students and/or alumni queries on events and/or activities.

• Work in partnership with the C&E team on student-led activities

Role Description

We are looking for a self-starting, cheerful, client-centric, and helpful individual to join our team. The Customer Service Executives assist our team of Real Estate Consultants by answering inbound enquiries, qualifying buyers and tenants, and coordinating viewings. You will need to be fast, organised, and meticulous when sharing and collecting information from potential buyers or tenants. If you have the ability to always smile and strive to make our clients happy, then we want you.

Duties & Responsibilities

• Handle inbound/outbound enquiries from various channels (WhatsApp, SMS, in-house messaging systems, and Phone calls);
• Search for information within our CRM to deliver accurate answers to questions from potential buyers and tenants whilst entering any new data into the listings to enrich the information;
• Qualify potential buyers and tenants expressing interest in Propseller listings;
• Coordinate and schedule property viewings for buyers and tenants against the schedule of the assigned Real Estate Consultants to meet team targets and maximise sales opportunities for each call/enquiry;
• Track and update your team tasks and activities through our in-house tech platform;
• Produce regular reports and conduct improvement-sharing sessions;
• Support ad-hoc tasks and projects from time to time.

Ideal Candidate

You have at least 1 year of working experience, ideally in the customer service field. You are an excellent communicator with a pleasant attitude who takes ownership in answering enquiries and helping customers get the smooth and optimal viewing experience they deserve with us.

Requirements

• Diploma or equivalent;
• Experience in customer service/sales support/call center would be beneficial;
• Must be fluent in written and spoken English as the role requires the candidate to answer inquiries via online chatroom or phone;
• Proficient in Google Suite / MS Office and with computers in general;
• Able to work 5 days a week (including public holidays and weekends) with 2 fixed off days per week, rotation between 9am-6pm and 12pm-9pm shifts;
• Organised and able to multi-task: You are skilled at managing your time, priorities, tasks, and getting things done fast, even when things can be chaotic;
• Fast and accurate: You have meticulous attention to detail and know how to review your work to produce quality and deliver fast;
• Client-centric: You enjoy spending time with people and take pride in making Propseller clients successful; being polite and committed to all tasks;

• Handle full set of account
• Verify monthly costing for budget control and expense management
• Monthly reconcile balance sheet items and bank statement
