Position Overview
We are seeking a detail-oriented and organized Wholesale Food Administrator to support the day-to-day operations of our wholesale food business. The ideal candidate will be responsible for administrative tasks, ensuring smooth order processing, inventory management, and excellent communication with clients and internal teams. Key Responsibilities

• Order ManagementProcess and coordinate wholesale orders accurately and in a timely manner.
  Communicate with clients to confirm orders, delivery schedules, and payment details.
  Ensure proper documentation for invoicing, delivery notes, and purchase orders.
  
• Inventory CoordinationMonitor inventory levels and notify the procurement team of restocking needs.

• Client SupportServe as the primary contact for client inquiries regarding orders, pricing, and product availability.

Key Responsibilities

1. Plan and manage production schedules based on customer orders, forecasts, and operational capacity

2. Coordinate production runs and batch processes to meet deadlines and optimize machine utilization

3. Monitor raw material inventory to ensure timely availability for production; ensure accurate tracking of finished goods and raw materials, etc

4. Analyze production capacity, machine efficiency and labour resources to ensure optimal production output

5. Track production KPIs such as cycle time, throughput, and efficiency and identify opportunities to improve production efficiency, such as to reduce waste and lower costs by redefining processses or implementing new technologies

6. Ensure all production activities comply with safety regulations, environmental standards, and quality control guidelines

Job Details:

• Overseeing day-to-day operations of the Dormitory and ensures the highest level of clients and residents’ satisfaction and service standards in accordance with our operational policies and procedures.
• Responsible in handling client/resident’s feedback and resolving complaints or issues promptly and satisfactorily through consistent engagement with the parties.
• Maintain a clean and safe environment, including raising mental health awareness for the residents.
• Responsible for ensuring that the Dormitory complies with FEDA and industry regulations.
• Responsible to provide guidance on the preferred communication method to resolve operational, event and dormitory regulatory issues at the Dormitory.
• Responsible for ensuring smooth implementation of duty roster and manning plan for operations of the Dormitory to ensure services meet the expectations.
• Assist Dormitory Manager during engagement with public authorities (i.e. BCA, MOM, SPF, NEA, SFA, ICA, SCDF, MHA, MWC etc.)
• Evaluate stakeholders’ and residents’ feedback and reports and initiate corrective actions and further improvement on the Dormitory operation.
• Prepare and submit weekly/monthly/quarterly reports and updates for Dormitory Manager, Operation Director and the Management.
• Attend to any emergencies at the Dormitory.
• All other duties assigned by immediate superior from time to time.

Requirements:

• Minimum education: N level.
• No previous experience required; training will be provided.
• Excellent team player.
• Basic proficiency in spoken and written English.
• Alert and possesses strong observational skills.
• Personal transportation is an advantage.

Additional Information:

• Salary starting at $2,400 per month.
• Completion of all three security courses is required for employment confirmation.

Purpose

The individual in this position is responsible for supporting the system users for ERP and application systems.

Responsibilities

• Handle daily system support for users regarding company system-related issues through various organizational communication channels.
• Diagnose, troubleshoot, and resolve ERP system and applications systems issues promptly, escalating to higher-level support when necessary.
• Lead the IT system implementation and improvement project.
• Manage and support user accounts, access permissions, and IT-related documentation.
• Liaise with various teams and vendors to facilitate the timely completion of different IT projects.
• Review and develop IT policies, standard operating procedures, and business plans for the organisation.

Job Requirements

• Degree/Diploma in Information Technology or equivalent.
• At least 4 years of experience managing ERP system operations (Supply chain management, logistics and Accounting) and leading system implementation projects (SAP, Oracle, MS Dynamics, or similar).
• At least 3 years of experience managing and developing Business intelligence Systems (Power BI, Domo, Tableau or similar).
• Strong analytical and troubleshooting skills in revolving technical and operational issues.
• Possess strong interpersonal communication skills and ability to work independently.
• Preferably able to communicate in Japanese (JLPT level N2 and above)

As part of the Human Resource team, you will be responsible for executing the full range of HR functions, from employee recruitment, retention, engagement, performance management to employee relations and regulatory compliance. You will work closely with the HR leadership team to provide HR guidance and support to business units, in alignment with the organization’s goals.

Primary Responsibilities:

• Partner with Business Unit (BU) Leads / Heads of Department (HODs) in the management of employee life cycle.

Insurance

• Ensure timely and accurate processing of insurance claims submissions for employees in compliance with government regulations and company policies.
• Be updated on all company insurance policies, such as Foreign Worker Insurance, Work Injury, Maternity benefits, etc.
• Keep abreast on latest statutory requirements on required regulatory reports (e.g., Work Injury reports to MOM).
• Verify coverage, process policy updates, and issue certificates of insurance as needed.
• Process eligible claims by coordinating with insurance brokers, ensuring claims are submitted for reimbursements within the respective timeframes (e.g., be aware on the stipulated claim window by insurance vendors).
• Update monthly work injury report details to management.
• Liaise with and support in yearly insurance review and renewal.
• Keep updated on industry trends and regulations to ensure compliance.
• Coordinate with internal teams to ensure smooth and efficient processes.
• Perform other administrative duties as assigned.

Payroll

• Ensure accurate and timely processing of payroll for employees.
• Timely and accurate submission of bank transfers, CPF, statutory claims and income tax filing.
• Maintain payroll records and information in an organized and secure manner.
• Review employee attendance records and validate compensation information.
• Investigate and reconcile payroll discrepancies to ensure compliance with statutory laws and regulations.
• Respond to employees’ and team’s inquiries regarding payroll information.
• Timely and accurately prepare payroll reports as required.
• Collaborate with the HR team member to ensure timely receipt of employee data to ensure payroll deadlines are met.
• Keep abreast on latest statutory requirements that affect compensations (e.g., CPF contribution rate changes, tax changes).
• Perform other administrative duties as assigned.

Requirements:

• Diploma in Human Resources, Business Administration, or related field.
• At least 2 years of experience in Human Resource role and related field.
• Strong knowledge of employment laws and statutory regulations.
• Excellent communication and interpersonal skills.
• Able to multitask and prioritize in a fast-paced environment, with ability to manage multiple tasks and projects simultaneously.
• Strong organizational and problem-solving skills.
• Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.

Job Responsibilities:

• Conduct daily sales activities, including cold calling, scheduling client appointments, preparing presentation materials and proposals, and presenting to potential customers.
• Develop and execute strategies by analyzing current market trends and needs.
• Generate new leads and secure new sales opportunities to boost sales revenue and achieve sales targets.
