We are looking for a cheerful Full-Time Customer Service Executive-Receptionist to join our new dental clinic in Mid Feb 2025 onwards.

Work Location: 52 Craig Road, Singapore 089690 (MRT: Tanjong Pagar)

Work Timing: Mon - Fri (9 - 5pm); Sat (9-1pm)

Salary range from $2500 - $4000 depending on experience + AWS

Front Desk Operational Support

• Maintain & manage a welcoming, organised clinic reception area
• Greet & support patients upon arrival or over the phone
• Handle enquiries via phone calls/Whatsapp/Email/Walk-in
• Manage appointment bookings, follow up calls, cancellations through all platforms and ensure adequate time between appointments for doctors
• Ensure data entry accuracy into booking system
• Patient registration & billing
• Key in sales of dental products
• Manage pantry & serve beverage to patients
• Monitor toilets to ensure cleanliness

Administrative duties

• Maintain accurate up-to-date patients’ information and compliance with PDPA regulations
• Ensure proper record keeping & maintain filing system
• Prepare documents and submit dental claims via insurance, CHAS, Medisave portals
• Assist in sending, monitoring & receiving cases sent to the dental lab
• Perform additional tasks as needed by clinic manager or doctors

Requirements:

• Minimum GCE 'N' Level / 'O' Level / ITE
• Fluent in English (Malay/Mandarin is a plus)
• Computer proficient - simple data entry
• Proactive, collaborative & able to work independently
• Excellent interpersonal skills & service oriented
• Highly organised and able to multi-task

Responsibilities:

Facilities Management

• Conduct regular inspections of building facilities and equipment, identifying and reporting issues for resolution.
• Coordinate routine maintenance and repairs with contractors and vendors such as HVAC systems, lifts, plumbing, and electrical systems.
• Monitor and restock facilities consumables, including pantry and washroom supplies.
• Perform minor repairs (e.g., changing light bulbs, fixing locks) as needed.

• Propose and support initiatives for energy and resource conservation.

Workplace Safety & Health

• Conduct workplace safety inspections to identify hazards and report non-compliance issues.
• Assist in updating Risk Assessments (RAs) and ensuring they align with statutory requirements.
• Coordinate and manage Permit-To-Work (PTW) forms for high-risk tasks such as working at heights.
• Support the Compliance & Facilities Manager in implementing workplace safety initiatives.
• Support the development and implementation of safe work procedures.

Fire Safety

• Perform regular checks on fire safety equipment (e.g., extinguishers, alarms, emergency exits) and report any issues.
• Assist in organizing fire drills and ensuring staff are familiar with evacuation procedures.
• Liaise with external vendors for the maintenance and inspection of fire safety systems.
• Assist in ensuring fire safety compliance during audits or inspections by regulatory bodies (e.g., SCDF)

Vendors & Contractor Coordination

• · Liaise with contractors for cleaning, pest control, security, and waste management services.
• Request quotations for maintenance and repair work and ensure timely completion.
• Monitor vendor performance to ensure service quality and adherence to agreements.
• Track contract timelines to ensure renewals or transitions happen without service disruption.
