Accounts Assistant / Associate

Your professional designations are as follows:

Job Description:

With supervision from the senior, managers and partners, your primary focus is to ensure that the accounting, corporate secretarial, tax and related assignments are executed based on the relevant professional requirements.

You will have the opportunity to use of robotic process automation (RPA) technology to prepare reports and schedules that are to be delivered to the clients and other external parties.

You shall be responsible to prepare the following deliverables for clients and other external stakeholders:

1. Full set of management accounts, unaudited financial statements or consolidated financial statements and business activity reports
2. Perform financial accounting and corporate reporting activities;
3. Prepare and submit GST return and tax computations

You will also contribute as a team member, assuming shared responsibilities, providing support and managing effective communication with fellow colleagues on a regular basis.

Finally, you are responsible for developing and maintaining professional relationships with clients.

Job Requirements:

• Plan and manage the day-to-day operations and administration of the Library, including management of resources and collection development within the approved budget.
• Plan, develop and implement library policies and Standard Operating Procedures ("SOPs") for library operation and management, upon obtaining the Authority’s approval.
• Monitor compliance with SOPs.
• Provide the relevant management reports on library usage or transaction statistics, such as loan of materials, reference enquiries and etc., in accordance with the Authority’s requirements as to the frequency and schedule of report submission.
• Manage the Library Management System (“LMS”), i.e. circulation, cataloguing, acquisition and access to online catalogue. To maintain accuracy of data in LMS and to monitor the movements of library items.
• Assist in asset tracking, i.e. tracking of Library's assets including furniture, trolleys & equipment.
• Perform library counter duties and manage the library loan services.
• Manage the inter-library loans and document delivery to support the Authority’s information needs (for official purposes only). Fulfil request within five (5) working days, subject to the availability of requested title(s).
• Liaise with relevant Divisions on facilities management, IT and security matters.
• Any other library-related administrative duties assigned by the Authority's Appointed Representative.

Requirement:

• A Diploma (preferably from a local polytechnic) with at least three (3) years of relevant working experience.
• Experience in a law library is preferred.

Responsibilities

Patroling & escorting duties

Monitor CCTV, Fire Alarm System, Carpark system

Observe and report any unusual behavior and conduct of the employees or guests in the Hotel.

Monitor all unauthorized vandalism and removal of property

Report any accidents that happened within the Hotel

Create security and fire safety awareness among staff and guests

Inspect all areas for safety and fire hazard & report on findings

Handle work place incidents and do investigations

Responsibilities:

· Process staff claims and payments for daily operating expenses;

· Prepare accounting schedules such as Fixed Assets Register and Listing of OPEX.

· Preparation and posting of Journal Entries.

· Perform bank reconciliation;

· Perform quarterly GST filing;

· Prepare internal management reports such as daily monitoring and report calculation, daily regulatory data base calculation;

· Prepare MAS regulatory reports, such as MAS 610, 649, 640 etc

· Assist in the preparation and submission of monthly and quarterly Head Office Reports;

· Other administrative support duties.

Requirements:

· Possess an accounting degree.

· Min 1 year of relevant accounting experience

. Fresh graduates with relevant internship experience are welcome to apply.

· Good knowledge of MS Excel is essential.

• Handling and checking of LC (letter of credit)
• Updating of data into Client’s system
• Work closely with overseas agents/office, various Loaders / co-loaders, vendors, and warehouse
• Arrange timely collections / Dispatch according to customer’s request.
• Responsible for tracking of goods en-route or any problem arise and forward information or pre-alerts to customers.
• Ensure timely billing and accuracy of the invoices.
• Attend and respond to customers’ inquiries.
• Foster and maintain customer relationships to their fullest.
• Arranging cargo insurance and all other types of Shipping documents
• Liaise, coordinate and respond to meet customer’s shipping requirements
• Handling customer issues and feedbacks
• Interact with dispatch for shipping arrangements
• Performs any other task as instructed by section manager.

Requirements

• Minimum GCE 'O' Level / Diploma
• Meticulous to details
• Able to commence within short notice or immediately
• Preferable candidate with at least 1 year of relevant shipping experience
• Knowledge of LC application and negotiation
• Independent with good communication skills
• Fast learner and able to work under pressure

Reporting directly to the Finance Manager, the Senior Accounts Associate / Accounts Associate will be covering the full accounting spectrum for selected entities and business operations.

You will manage the full set of accounts, including billing, receipt updates, vendor invoices, payments, journal entries, inter-company charges, bank reconciliations, and balance sheet schedules etc.. Work closely with the Sales and Ops teams to ensure accurate financial data. Perform month-end closing, prepare financial reports, handle GST submissions, manage bank facilities, and assist with audits, tax matters, budgeting, and ad-hoc duties as required by the Finance Manager.

Experience & Requirements

• Diploma/Degree in Accounting or equivalent
• Min 2-4 years working experience handling full sets accounts
• Strong taxation knowledge
• Proficient with Accounting and ERP Software
• Experience in XERO would be advantageous
