Key Responsibilities

• Perform data entry for Purchase Invoices (PO) and Credit Notes in the ERP system
• Record receipts, process payments via internet banking, and update the Cash Book promptly
• Maintain and review vendor remittance details, and input into the system as needed.
• Reconcile vendor accounts upon receipt of statements
• Conduct bank reconciliation once a month
• Input staff reimbursements into the ERP system weekly
• Generate and reconcile GST Input & Output Tax reports once a month
• Compile and prepare Budget Tracking for all departments once a month

Duties and Responsibilities

· Checking & Matching invoices with GRNs

· Follow up with vendors for outstanding invoices based on Dos

· Ensure there is no outstanding GRNs and invoice before month end closing

· Update invoices daily in NAV and post them after review by the Accounts Executive

· Monthly reconciliation of suppliers’ statements of account (SOA)

· Liaise with purchasers / suppliers for any discrepancies in invoicing

· Ensure all the Dos received are in order

· Preparation of monthly payments for local and overseas supplier

· Prepare staff claim

· Process creation and maintenance of vendors in system

· Update the vendor's payment in the cash book

· Answer calls from suppliers regarding payment status.

· Assist in mid-year and year end stock take

· Assist in annual fixed asset and minor asset sighting

· Assist in filling and other administrative works

· Any other ad-hoc duties required

This role requires strong financial acumen, adaptability, and expertise in managing complex financial processes across industries. The successful candidate will play a pivotal role in ensuring financial health, compliance, and strategic planning to support growth objectives.

Key Responsibilities:

1. Financial Management and Reporting

• Prepare and analyze monthly, quarterly, and annual financial statements for both companies.
• Consolidate financial reports and provide key performance metrics to stakeholders.
• Ensure compliance with local and regional financial regulations and tax requirements.
• Maintain accurate and up-to-date financial records for auditing and internal reviews.

2. Budgeting and Forecasting

• Develop and manage budgets for the tech startup and medical device distribution company.
• Conduct financial forecasting to support strategic decision-making and fundraising efforts.
• Monitor budget variances and provide actionable insights to management.

3. Fundraising Support for the Technology Startup

• Collaborate with the executive team to prepare financial models and projections for Series A fundraising.
• Support due diligence processes by ensuring accurate and timely provision of financial data.
• Assist in evaluating and implementing funding strategies to support scaling efforts.

4. Revenue and Cash Flow Management

• Oversee revenue recognition and ensure accurate invoicing for:Monthly leasing payments for the tech platform.
• Daily invoicing for medical device sales to hospitals, pharmacies, and online channels.
• Monitor accounts receivable and payable to ensure healthy cash flow.
• Implement cost control measures to optimize profitability.

5. Supply Chain and Inventory Management (Medical Device Distribution)

• Collaborate with supply chain and operations teams to ensure efficient inventory management.
• Analyze cost structures and recommend improvements in procurement and logistics.
• Support the implementation of robust systems for tracking inventory levels and replenishments.

6. Financial Systems and Automation

• Evaluate, implement, and optimize accounting software and tools to improve efficiency.
• Automate financial processes where possible to reduce manual workloads.
• Ensure integration of financial systems with sales and supply chain platforms.

7. Leadership and Collaboration

• Act as a financial advisor to senior management for both companies.
• Liaise with external auditors, tax advisors, and regulatory bodies as needed.

8. Risk Management and Compliance

• Identify financial risks and propose mitigation strategies.
• Ensure compliance with industry-specific regulations, including medical device standards and tech platform licensing.

Qualifications:

• Bachelor’s degree in Accounting, Finance, or a related field; CPA/ACCA or equivalent preferred.
• Minimum 5 years of experience in accounting or finance roles, with exposure to startups or distribution businesses being a plus.
• Strong knowledge of financial regulations, accounting principles, and tax laws.
• Proficiency in accounting software (e.g., Autocount, Navision) and financial modeling tools.
• Excellent analytical, problem-solving, and communication skills.
• Ability to multitask and manage priorities across two distinct businesses.
• Experience with fundraising and investor relations is highly desirable.
