Our Singapore office is looking for an Accounts Executive/Assistant to join our Finance Team!

This role will be reporting to a Finance Manager with the following roles and responsibilities:

1. To be responsible for the efficient and accurate conduct of operations of the finance department and to assist with accurate, efficient and effective accounting support.
2. Invoice Processing: Receive and review invoices for accuracy, completeness, and proper authorization. Code invoices with appropriate general ledger accounts and enter them into the accounting system for payment processing.
3. Vendor Master Data: Maintain vendor records and ensure all information is up to date. Address vendor inquiries and resolve discrepancies in a timely and professional manner. Establish and maintain positive relationships with vendors to facilitate smooth transactions.
4. Month-end Closing Activities: Assist with month-end closing processes, including accruals, journal entries, and account reconciliations related to the accounts payable function. Collaborate with the accounting team to ensure accurate and timely financial reporting.
5. Reporting: To ensure that the monthly reports are prepared and submitted a day before the deadline.
6. Lead project assignments on internal process improvements and controls.
7. Other ad-hoc duties.

• Singapore Financial Reporting Standards (SFRS) knowledge a must-have. - Familiarity with FRS for agricultural assets an advantage.

• Communicates with Tug Controllers to ensure the right Tugs deployed for the right jobs and to double up as Tug controllers when needed
• Manages tugboat Bunkering Operations
• Joint inspection of tugboat operating system to ensure all in working order
• Ensures tugboats are manned with qualified, medically fit and suitable experienced seafarers in accordance with the relevant national and international manning requirements.
• Assists personnel matters (contacting crew’s families) during emergency situation
• Liaises / coordinates with Vessel, Manning Agent, Immigration Officers, for crew change arrangement.
• Handles crew P&I cases
• Arranges crews' transportation, PPE, SMART Card. Arrange crew IPA application with HR, MPA crew flag state certificate application; COE application.
• Updates/ Maintains Crew List/ Flag State List, Crew Personal File,
• Manning of Crew Change File

Requirements:

• Minimum Diploma in Maritime Business/ Nautical Studies
• Must have MPA Port Limit Helmsman certificate
• Preferably 1 years’ experience in maritime operations or Tugboats / Crew scheduling and deployment will be advantageous
• Knowledge and experience in port agency and management will be advantageous

Responsibilities

· Process day-to-day transactions and book-keeping duties, including GL, AR, AP, employee reimbursements and intercompany journals.

· Support on cash flow management, intercompany transactions, and settlement.

· Prepare monthly management accounts, financial statements and resolve discrepancies.

· Process/generate invoices

· Process Expenses Claim Report and payments.

· Perform bank reconciliations

· Other assigned related tasks

· Assist in all tax and regulatory filing, audits, and company secretarial matters.

· Coordinate with internal and external parties including external auditors, tax agents, corporate secretarial agents, local tax, and government authorities where required.

· Work together with other teams to continuously improve the quality of financial reporting and automate internal operational processes.

Requirements:

· Minimum 3 years of accounting/audit experiences Including handling full sets of accounts/ monthly reporting/Accounts Payable Functions

· Hands-on with attentions to details, responsible, organized and able to work independently

· Strong Proficiency in Excel.

Responsibilities

• Supervise construction works, maintain quality control and ensure that the works are carried out in accordance with the project specifications, design intent, approved drawings and site instructions by the supervising qualified persons
• Ensure that site personnel carry out their work in compliance with the prevailing regulations set up by the building authorities and government agencies of Singapore
• Perform tests to check the quality of materials
• Review project drawings and specifications, and raise any discrepancies and/or potential problems to the appointed Qualified Person and relevant stakeholders
• Attend meeting with qualified persons and relevant stakeholders
• Prepare progress reports
• Work under the control and direction of the appointed Qualified Person(s) when carried out his/her duties for the assigned project
• Any other duties as assigned from time to time

Prerequisites

• Diploma/Degree in Civil & Structural Engineering
• Accredited as a C&S Resident Technical Officer (RTO) by Institution of Engineering Singapore (IES) or Association of Consulting Engineers Singapore (ACES)
• Certificate in BCSS (Building Construction Safety Supervision) or other similar construction-safety certification
• Minimum 2 years of experience as a Resident Technical Officer (RTO)
• Able to read and interpret architectural drawings and details of construction projects
• Project Location: Jurong Island (Transport will be provided at designated pick-up points)

· Conduct routine and daily checks on food safety, hygiene, quality, process and general guidelines of Halal requirements in production, supply chain and logistics

· Prepare and maintain food safety, hygiene, quality and process

· Perform daily periodic site walk of whole facility

· Conduct retention samples checks

· Coordinate with microbiological laboratory for sample collection and lab reports.

· Follow-up with Procurement on investigation and corrective actions on raw material complaint / customer feedback.

· Assist in internal audits and support external audits

· Prepare and liaise with warehouse team on export procedures e.g. placement of temperature data logger device.

· Perform basic troubleshoot and liaise with external vendors for routine servicing and issue follow up
