Job Summary:

As an Accounts Assistant, you will play a crucial role in supporting the financial operations of the organization. Your responsibilities will include assisting with day-to-day accounting tasks, maintaining accurate financial records, and collaborating with the finance team to ensure the smooth and efficient operation of the finance department.

Responsibilities:

Financial Record Keeping:

• Assist in the maintenance of accurate and up-to-date financial records.
• Record daily financial transactions and ensure they are properly classified.
• Reconcile bank statements and other financial documents.

Accounts Payable and Receivable:

• Process invoices, expense claims, and payments in a timely manner.
• Assist in the preparation of invoices for customers and clients.
• Follow up on overdue payments and address payment discrepancies.

Data Entry and Documentation:

• Enter financial data into accounting software or spreadsheets.
• Maintain organized and well-documented records of financial transactions.
• File and archive financial documents appropriately.

Assist in Budgeting and Forecasting:

• Collaborate with the finance team in preparing budgets and financial forecasts.
• Monitor budgetary performance and report any variances.

Financial Reporting:

• Generate and prepare financial reports for review by senior staff.
• Assist in the preparation of monthly, quarterly, and annual financial statements.

Audit Support:

• Assist in the preparation of documents and schedules for internal and external audits.
• Collaborate with auditors to provide necessary information and explanations.

Compliance:

• Ensure compliance with financial regulations and company policies.
• Stay updated on changes in accounting standards and regulations.

Communication:

Communicate with vendors, clients, and internal departments to address financial queries.

Collaborate with team members to ensure smooth workflow within the finance department.

Requirements:

• Bachelor's degree in Accounting, Finance, or a related field.
• Proven experience in accounting or finance roles is advantageous.
• Familiarity with accounting software and MS Office suite.
• Strong attention to detail and accuracy in work.
• Good organizational and time-management skills.
• Effective communication and interpersonal skills.
• Ability to work collaboratively in a team environment.
• Knowledge of relevant financial regulations and standards.

JOB RESPONSIBILITIES

• FULL set of accounts for various entities
• Handle Accounts Payable and GL
• Purchase documents for bank submission
• Inter-Company billings for Stock & Orders
• Prepare inventory listing, reconcile & adjustments
• Update Fixed Assets & Monthly depreciation
• Bank Recondition
• Prepare timely & accurate GST return for various entities
• Handle customer contracts and support AR functions

JOB REQUIREMENTS

• Min Diploma in Accounting
• At lease 2 years of experience in manufacturing industry
• Team player and able to interact with all levels
• Good Track record of performance
• Analytical and proficient in problem solving

Responsibilities:

• Manage the daily operations of the accounts receivable function, including receipt of payments, and tracking of receivables.
• Maintain up-to-date customer files daily and at monthly accounts closing.
• Follow-up on, collect, and allocate payments and reporting activities according to specific deadlines.
• Perform account reconciliations.
• Monitor customer accounts for non-payments and/or delayed payments.
• Communicate with customers via phone and email to ensure prompt payments.
• Work closely with other departments on overdues.
• Daily verifying of cash from cash collection from customers.
• Manage and maintain accounts payable system including process vendor invoices, prepare payment vouchers, perform payment reconciliations, and manage accounts payable records.
• Prepare timely payments to suppliers.
• Cash-flows updating.
• Assist in maintenance of account schedules.
• Ensure timely closing of accounts receivables and accounts payable.
• Assist in other ad-hoc accounting works.

Requirements:

• Diploma in Accounting, bookkeeping or equivalent.
• Min 2 years of relevant working experience and able to handle accounts receivable, accounts payable and general accounting works.
• Good understanding of accounting principles.
• Knowledge or experience in operating Sage preferred but not a must.
• Proficient in Microsoft Excel.

Accounts Payable

· Issue PO , input Supplier Invoices , Supplier payment, staff claim and Giro payment.

· Purchase of Material for Production and Office.

· Assist in month end financial closing Handling Franchise and Outlet matter.

· Check Bank Reconciliations on Payments/Giro

· Month end accruals and other related journal entries Submit Statistic & GST quarterly.

· Assist in yearly audit schedule. Goods Receive, etc.

Accounts Receivable

· Prepare monthly summary , issue Sales Invoice.

· Credit control function - prepare SOA for customer and chasing payment with call and email.

· Update and manage incoming fund from customer and outlets. Bank Reconciliations - Receivable

· Assist In-house Accounting Module updating.

· Handle any other ad hoc requests from management ,etc

· LCCI Bookkeeping Certificate

· GCE “O” Level Certificate

· Accounting knowledge

· At least 2 years of Accounting Experience

· MS Excel and Word
