Part-Time Sales Coordinator Admin Assistant

3 days a week (The day for work will be confirm)

Job Description:

-Coordinate sales activities and liaise with customers

-Manage customer calls/messages/email and follow up all activities

-Maintain and update the customer database

-Generate and prepare sales reports

-Collaborate with the sales team to achieve sales targets

-Communicate with suppliers to obtain quotes and place orders

-Support other administrative tasks as assigned

-Ad-hoc tasks as & when required.

Job Requirements:

-Minimum 1 year relevant experience

-Min. GCE 'O' Level

-Customer Oriented with good interpersonal and communication skills

JOB DESCRIPTION
Reporting to: Admin Manager
Core Responsibilities
1) Management of customer enquiry and feedback
2) Order processing (Ensure daily orders are fulfilled in a timely manner)
3) Ensure timely delivery of products to customers by effective liaison with internal
and external logistic partner
4) Assist in planning optimal delivery route and schedule of operation activities
such as processing and stock movement
5) Assist in preparation of quotation and tender documents
6) Provide administrative support for business operations.
7) Provide support to the operation in maintaining a smooth operation process.
8) Any ad hoc duties and/or projects as assigned.

Other Requirement:
• Minimum GEO ‘O’ level/SPM or equivalent
• Competent in using Microsoft Office, WhatsApp and Email
• Able to work with minimal supervision

• Perform general administrative duties such as filing, controlling and maintaining of documents, mailing of documents
• Perform IR21, IR8A for workers
• Monitor and follow up on staffs’ probation, confirmation, appraisal or promotion
• Office admin support and general administration such as air ticket purchase, etc
• Handle Petty cash claims
• Renew company licenses
• Application/Renewal of Permit and Passes for workers and office staff.
• Handle Payroll & Leave Application Matters (Calculating attendance/timecard of workers and key in system)
• Other Ad-Hoc Duties.

Job Scope

Shipping Duties:

- Prepare shipping documents

- Co-ordinate with freight forwarder and with production department

- Email customer on shipping dates and freight details.

- Email shipping documents to customers and freight forwarders.

- Arrange Courier shipping documents to customers.

- Arrange import shipment from Supplier.

- Co-ordinate upon shipment request for Bill of Lading / Air Waybill / Notice of Arrival from freight forwarder

- Co-ordinate upon shipment request for invoice from Supplier

- Email Bill of Lading / Air Waybill / Notice of Arrival to forwarder to clear shipment

- Co-ordinate Upon vessel / flight arrival and follow-up with forwarder until shipment reach AMKCO.

- Must be open to learn about Bill of Material and Costing.

Administrative Duties:

- Answering incoming phone calls

- Answering the door bell

- Generate Delivery Order & Sales Invoice from Visual to our customers.

- Email sales invoice to customer for their record and payment

- Contact Customer to follow up on payment.

- English and Chinese language proficiency is a must.
