JOB REQUIREMENTS

• Minimum education of bachelor's degree in Hotel Management or relevant discipline
• Minimum of 3-5 years in hotel operations or relevant equivalent field
• Knowledgeable in hotel operations (e.g. Front Office, Executive Floor, Housekeeping, Food & Beverage, Events, etc.)
• Have good English communication skills both in written and spoken
• Exceptional communication, negotiation, and interpersonal skills, with a keen attention to detail
• Strong leadership and team management skills with the ability to inspire and motivate a diverse team to achieve excellence

This position reports to the Director to manage all aspects of warehousing and fulfilment.

Responsibilities

Indivudual will be involved in:

1. Processing orders using our in-house ERP system. Orders mainly from online platform such as Shopee, Lazada, Amazon.

2. Picking and packing stocks as per item details indicated on packing list.

3. managing incoming stocks by sorting, labeling, and assigning space for the inventory.

4. Scanning parcels for courier team to pick up parcels.

5. General warehouse tasks which include keeping area clean and tidy.

6. Able to carry a load of 20kg

Competencies

1. Active participation in space planning.

2. Have basic knowledge on Mcrosoft Word, Excel and Powerpoint.

3. Adaptable to use inhouse ERP system.

This above role will play a crucial role in supporting the main Executive Assistant to ensure smooth operation of the International Business Office (IBO) administrative functions.

• Assist in booking travel arrangements, including flights, accommodation and transportation.
• Support the application process for Visas for the IBO team. Liaison with travel agencies, embassies and other group companies to confirm the latest Visa requirements for travel designations.
• Support EA to manage IBO team’s calendars.
• Manage official communications, including calls and emails. Act of point of contact between internal and external stakeholders.
• Assist in planning and organizing both internal and external meetings and events. Ensure timely communication and preparation with all relevant parties.
• Assist in reconciling and verifying the IBO team’s travel and entertainment claims in accordance with the Company’s business expense policy. This includes preparing travel requisition and submission of claims, etc via our system.
• Organise and maintain records, files and documents relating to IBO administration
• Assist in drafting and reviewing memos, letters and other correspondences
• Ensure confidentiality and accuracy in handling sensitive information
• Taking detailed meeting minutes
• Administrative duties and any other duties assigned by the Executive Assistant.
