Contract Duration:

• Base Year: 2 January 2025 to 14 November 2025 or from the issuance of the Letter of Award (LOA), whichever is later.
• Working Hours: Monday to Friday, 8:00 AM – 4:30 PM (8.5 hours/day, including a 1-hour lunch break).

Non-Working Days:

• Saturdays, Sundays, gazetted public holidays
• School holidays in November and December
• Eve of Chinese New Year, Thanksgiving and Award Presentation Ceremony (TAPC), Youth Day, eve of National Day, eve of Teachers’ Day, and Teachers’ Day

Service Required:

• First and last week of the school holidays in June

Key Responsibilities:

Customer Service & Front Desk:

• Handle phone calls, walk-ins, and general inquiries from parents, students, and the public.
• Provide first-level assistance to sick or injured students and escalate more serious cases as needed.
• Communicate parents’ messages to teachers effectively.

Administrative Support:

• Manage loan and collection items as assigned by the Admin Manager (AM) or Vice Principal Admin (VPA).
• Oversee the stock of spare uniforms, office supplies, pantry items, and first aid supplies.
• Handle incoming and outgoing mail as directed by the AM or VPA.
• Count, sort, and distribute brochures, leaflets, and items to teachers and students.
• Ensure forms in the General Office are current and replenished regularly.
• Maintain cleanliness and organization of the reception area.

Other Duties:

• Safeguard official information by signing a confidentiality undertaking.
• Perform ad-hoc administrative tasks as assigned by School Leaders, AM, or HOD overseeing the department.

Qualifications, Skills & Experience:

Minimum Requirement:

• Education: GCE ‘N’ Level or equivalent

Preferred Experience & Skills:

• At least 2 years of relevant work experience
• Pleasant and people-oriented with strong communication skills
• Ability to work effectively in a team and independently
• Fluent in English and a Mother Tongue language (preferably Mandarin)
• Proficient in Microsoft Office applications (Word, Excel, Outlook)
• Prior experience working with students in schools (advantageous)
• First Aid Certification (advantageous)

Job Summary:

The Purchaser/Admin Assistant will be responsible for managing procurement activities, maintaining records, and supporting administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities efficiently.

Key Responsibilities:

Procurement Duties:

1. Source and evaluate suppliers to obtain the best prices and quality for materials, goods, and services.
2. Prepare and process purchase orders, ensuring accuracy and compliance with company policies.
3. Track and monitor delivery schedules to ensure timely receipt of orders.
4. Negotiate terms and contracts with suppliers and vendors.
5. Maintain and update a database of approved suppliers and products.

Administrative Duties:

1. Manage daily office operations, including filing, documentation, and correspondence.
2. Maintain inventory records and reorder supplies as needed.
3. Handle incoming calls, emails, and inquiries professionally.
4. Support Project/HR-related tasks, if required.

General Responsibilities:

1. Collaborate with various departments to understand procurement and administrative needs.
2. Ensure compliance with company policies, procedures, and ethical standards.
3. Identify opportunities for cost savings and process improvements.
4. Provide support for ad hoc projects and assignments.

Requirements:

Education and Experience:

• Secondary/Diploma in Business Administration, Supply Chain Management, or a related field.
• At least 1–2 years of experience in purchasing or administrative roles.

Skills:

• Strong communication and negotiation skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Knowledge of procurement software or ERP systems is an advantage.
• Excellent organizational and multitasking abilities.
• Attention to detail and ability to maintain accuracy under pressure.

· Provide front-desk service duties, such as handle incoming calls, attend walk – in visitors, handle incoming mails and fax, handle incoming and outgoing courier services including transmit the documents items from office to site by mail or courier.

· Manage and up-keep overall cleanliness and tidiness of office areas.

· Managing administrative tasks such as filing, typing, copying, binding and scanning.

· Maintaining records, updating paperwork, and documenting procedures as per the requirement of an organisation.

· Assist with preparing payment certificates

· Process employee expense reimbursements.
