Working Venue: Farrer Park
Working Timing: 44 hours per week (Normally 8am-5pm / 9am-6pm, discuss more during the interview)

OVERVIEW
The Administration Assistant assists the Principal in managing and coordinating administration and operations in the centre. Main scope includes administration, financial, personnel and procurement.

RESPONSIBILITIES
ADMINISTRATION

• Manage registration and withdrawal of children
• Prepare and collate monthly reports and submissions to Government Agencies and Head Office
• Update and submit children’s particulars receiving subsidies and CDC Central-Based Financial Assistance Scheme for Childcare (CFAC) approval letter to Accounts Department
• Update centre’ s fact sheet
• Update parents’ particulars
• Draft simple letters and correspondences
• Coordinate & submit staff and children accident insurance claim forms to Head Office for processing
• Maintain and update filing system

FINANCIAL

• Invoicing and collection of fees and other payments
• Banking, verification of fee collection and other payments
• Issuing of receipts
• Disbursement of petty cash expenses
• Preparation of petty cash, fee collection reports
• Ensure completeness of monthly invoices and receipts
• Ensuring that effective and efficient systems and procedures are in place
• Support Financial Year End Audit and Special Audits (Subsidy/ICCP/DSLS etc)

PERSONNEL

• Coordinate training registration and submit to Head Office
• Assist in recruitment related matters as communicated by Head Office
• Update and inform government agencies of staff changes in One@ECDA (along with Principal)
• Manage ECDA CMS

PROCUREMENT

• Submit payment documents for purchases
• Submit monthly provision to suppliers
• Submit quarterly stationery supplies orders to suppliers
• Submit uniform and mattress orders to suppliers
• Maintain inventory for uniform, mattress and stationery

OTHERS

• Ensure that licensing requirements are met at all times (along with Principal)
• Attend to public enquiries and complaints
• Clearing of incoming and outgoing centre mails and emails
• Update centre’ s notice boards
• Liaise with Head Office on matters pertaining to centre maintenance works
• Monitor maintenance of centre equipment (copier machine, computers, telephones)
• Conduct periodic checks of centre to report damages or vandalism
• Attend staff meetings, workshops, conferences, in-service training
• Promote a neat and professional appearance
• Any other duties as and when assigned by the Principal

REQUIREMENTS

• Competent with Microsoft applications (Outlook, Word and Excel)
• Minimum GCE ‘O’ Levels
• Preferably prior experience in Preschool / Childcare centre / Student care administration role.

The Role

The intern Office Admin, HR, and Services position will provide office administrative duties and HR support to employees at our Singapore office while assisting the Enterprise Services team with various administrative tasks.

The role reports to the Director of Administration & Corporate Events and functionally reports to the SVP Finance & Operations.

Key Responsibilities

Office Admin & HR

• Collaborate with building management, managing their portal, raise and submitting requests to the management company and forwarding circulars to staff.
• Ensure office cleanliness and maintain adequate supplies by managing inventory and coordinating with the admin team or vendors.
• Assisting staff requests & inquiries regarding the office, office supplies, new joiners and leavers.
• Maintain accurate records by regularly updating all folders & files, including vendor contact details.
• Handle mail deliveries and efficiently arrange their distribution to respective colleagues.
• Manage and represent the Social Committee for company social events.
• Coordinate employee onboarding and offboarding processes, including workstation set-up and collection of company assets.
• Assist with and coordinate logistics related to HR training.
• Any ad-hoc projects as assigned.
• Such other responsibilities as directed by the Employer from time to time.

Enterprise Services

• Support in the onboarding and offboarding of Commercial Services departments freelance labor force by issue contracts and maintaining freelance database.
• Support department in contract management by issuing of contracts, maintaining contract databases and following up with various personnel within the department for possible renewals.
• Support in issuance of travel notifications company wide.
• Supporting AFG's travel team on various ad hoc tasks.
• Other duties as assigned.

Skills, Experience and Qualifications

• Able to commit to a full-time Internship for six months.
• Applicant preferred to obtain diploma/degree.
• Attention to detail and ability to maintain organisation in a fast-paced environment.
• Proficient user of all Microsoft applications.
• Flexible, enthusiastic and motivated.
• Ability to prioritise tasks, stay organised, and work both independently and within a team.
• Proficiency in written and spoken English; proficiency in other Asian languages is a plus.
• Candidate must be based in Singapore.

Referrals are received from the Ministry of Social and Family Development (MSF) Child Protection Services to assist families and children identified as needing non-statutory services and support.
