Executive/Team Assistant

• Permanent role
• Work arrangement: 1 day WFH, but depending on business needs.
• Work location: CBD area

The Opportunity

• Administrative Support:

1. Assist with calendar management, including scheduling meetings, appointments, and events.
2. Prepare, edit, and format reports, presentations, and correspondence.
3. Manage and maintain accurate records, documents, and databases.

• Communication and Coordination:

1. Act as the first point of contact for internal and external stakeholders.
2. Coordinate communication within the team and across departments.
3. Handle inquiries and relay messages promptly and accurately.

• Travel and Expense Management:

1. Arrange travel itineraries, accommodations, and transportation as needed.
2. Process and manage expense claims and reimbursements

• Event and Meeting Coordination:

1. Organize and support team meetings, workshops, and events, including preparing agendas, minutes, and follow-up actions.
2. Arrange catering, equipment, and logistics for events and meetings.

• General Office Management:

1. Order and manage office supplies and equipment.
2. Ensure the team workspace is organized and efficient.
3. Assist with onboarding and offboarding processes for team members

Your Background

• Proven experience as a Team Assistant, Administrative Assistant, or similar role.
• Excellent organizational and multitasking skills, with the ability to prioritize effectively.
• Strong communication and interpersonal skills, with a professional demeanor.
• Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
• Attention to detail and a proactive approach to problem-solving.
• Ability to handle confidential information with discretion.
• A diploma in Business Administration or a related field is preferred.
