Responsibilities

•  Deliver a range of Document Imaging services and support to the client with minimal or no supervision
•  Receive, sort, batch and prepare hard copy documents for scanning
•  Remove all bindings correctly, without degrading the hard copy document.
•  Repair and prepare hard copy documents for auto-feed scanning as required.
•  Operate and maintain high-speed production scanners equipment to scan hardcopy documents to digital form
•  Ensure that all required physical pages are scanned and all scanned images are clear, complete and orientated correctly
•  Capture data from scanned images accurately and completely within keystrokes performance measurements
•  Restore hard copy documents to original form as required for packing into archive boxes
•  Ensure daily record keeping functions are completed and reporting information is maintained
•  Collaborate with the team to problem solve to ensure efficient service delivery that meets SLA
•  Identify and implement opportunities for process improvement
•  Move archive boxes weighting up to 6kg~10kg within storage area
•  Retrieve archive boxes promptly from the storage room in response to requests
•  Collaborate with team members to facilitate smooth access to archived materials

Job Requirements:

•  Minimum of 2-year experience in document processing in a regulated industry
•  Minimum “O” Level Certification
•  Physical ability to lift and move archive boxes up to 6kg~10kg
•  Proven record working in a fast-paced and time sensitive environment with little to no errors
•  Execute tasks efficiently and within tight deadlines without compromising quality.
•  Ability to manage time effectively and deliver results within tight deadlines.
•  Absolute team player, and look to enjoy working with a close-knit team
•  Basic computer literacy skills in MS Excel and Word
•  Willing to be deployed across different sites on short notice
•  Willing to OT as per required
•  Acceptable to do cross-functional learning/job rotation as per Management’s request

Job Descriptions:

Purchase Requisition

• Creation of Purchase Requisition and liaising with requesters from various departments (charge code, amount, contract fund utilization, delivery location)
• Monitor and follow up on document status
• Preparation of document listing on bi-weekly basis
• For CAPEX and visibility: to check against CAPEX availability and visibility fund in CMS

Goods Received (GR)

• Review completeness of Purchase Order (PO) invoices within Invoice Processing Portal
• Perform 3-way match between Delivery Order (DO), PO and invoices.
• Compilation of supporting documents and providing comments when necessary
• Posting of GR
• Attached all relevant documents (DO, etc) in SAP, and file all document

POSM Management

• Weekly inventory reconciliation and upload to system
• Handle delivery/collection requests from various departments
• Monitor and follow up with POSM movement including liaising with 3rd party Warehouse & Logistic on collections & deliveries.
• Monthly Inventory reconciliation
• Creation of material code for New POSM registration, including the maintenance of master list
• Handle incoming shipments for POSM related PO, including liaising with approved forwarder
• Inform 3rd party Warehouse on incoming shipment with information on the POSM for their GR
• Liaise with Marketing Team and review of POSM for disposal on quarterly basis
