Job Description
The Executive Assistant will play a pivotal role in providing administrative, operational, and strategic support to the Executive. This position encompasses tasks ranging from financial oversight and market research to scheduling and preschool on-site administrative assistance under CEO's portfolio companies (FinTech, Investment, Pre-School). The ideal candidate is highly organized, analytical, and adaptable, with the ability to manage diverse responsibilities in a fast-paced environment.
Key Responsibilities
1. Executive Support and Scheduling
ā¢ Coordinate the Executiveās calendar, appointments, meetings, expense managment, and travel arrangements.
ā¢ Organize and prioritize emails, calls, and correspondence, ensuring prompt follow-up and clear communication.
ā¢ Prepare meeting agendas, take minutes, track action items, and manage related documentation.
2. Financial Management and Analysis
ā¢ Assist in budget preparation and monitoring, providing regular financial reports and forecasts.
ā¢ Collaborate with the finance team on invoice processing, receipt tracking, and payment coordination.
ā¢ Conduct basic financial analyses (e.g., expense tracking, cost-benefit analyses) to support data-driven decisions.
3. Market Research and Reporting
ā¢ Gather, analyze, and present market data that aligns with organizational goals or strategic initiatives.
ā¢ Identify trends, emerging opportunities, and potential risks, providing insights to inform business strategies.
ā¢ Maintain organized records of research findings for easy reference by the Executive and relevant stakeholders.
4. Operations and Project Management
ā¢ Coordinate internal processes and projects, ensuring that tasks are assigned, deadlines met, and deliverables achieved.
ā¢ Maintain accurate records and documentation, including project plans, internal reports, and operational workflows.
ā¢ Assist with vendor management, such as sourcing, contract negotiations, and overseeing service delivery.
5. Preschool Administrative Support
ā¢ Provide on-site assistance for day-to-day preschool operations, including arrival and dismissal procedures.
ā¢ Support enrolment and registration processes, maintaining accurate childrenās records and documentation.
ā¢ Handle billing, fee collection, and petty cash management related to preschool activities.
ā¢ Serve as a liaison between the Executive and the preschoolās leadership team to address inquiries and operational needs.
Requirements and Qualifications
ā¢ Diploma or Degree in Business Administration, Finance, or a related field preferred.
ā¢ Proven experience in administrative or executive assistant roles, with exposure to financial tasks and project coordination.
ā¢ Strong analytical skills for financial management and market research, with the ability to interpret data and provide recommendations.
ā¢ Proficiency in MS Office (Word, Excel, PowerPoint); familiarity with accounting or project management software is an advantage.
ā¢ Excellent communication, organizational, and interpersonal skills.
ā¢ Ability to prioritize, multitask, and handle confidential information with discretion.
ā¢ Demonstrated interest in, or willingness to learn about, early childhood education and preschool operations.
ā¢ A proactive approach to problem-solving and a knack for anticipating the Executiveās needs.
