The Senior Executive Officer / Assistant Manager (Policy and Plans) will provide comprehensive planning and administrative support to the CEO, Board, and the organization.
This role is well suited for a university graduate in their first or second job role. You will be responsible for the seamless functioning of the CEO and Board’s office while supporting the development, implementation, and operational evaluation of policies, plans, and processes aimed at enhancing organizational effectiveness.
Key Responsibilities:
Administration & Governance Support:
- Provide high-level administrative support to the CEO and Board, including managing meetings, preparing agendas, and taking minutes.
- Facilitate communication between the CEO, Board, and various departments to ensure the efficient flow of information.
- Ensure proper documentation and compliance with governance frameworks and regulations, supporting the governance committee by preparing agendas and implementing governance directives.
- Handle confidential correspondence, emails, and phone calls on behalf of the CEO and Board.
Policy & Planning Support:
- Assist in the development and review of policies and plans that align with the organization’s strategic goals.
- Conduct research and analysis to inform the policy development process and ensure compliance with relevant regulations.
- Support stakeholder engagement and consultation processes to gather input and build consensus around new policies and plans.
Workplan & Project Management:
- Support the development and implementation of the secretariat's workplan, ensuring tasks are prioritized, deadlines are met, and resources are allocated efficiently.
- Coordinate innovation projects, knowledge strategy development, and performance metrics to improve organizational outcomes.
Knowledge & Innovation Management:
- Assist in developing knowledge management strategies, including capturing, storing, and sharing best practices across the organization.
- Facilitate knowledge-sharing forums and training sessions to foster a collaborative environment.
- Support the implementation of technology systems and innovation initiatives that enhance organizational performance.
Reporting & Performance Metrics:
- Assist in preparing reports, including performance dashboards and key metrics for the CEO, Board, and other key stakeholders.
- Contribute to developing and managing Objectives and Key Results (OKRs) to measure organizational performance.
Stakeholder & Relationship Management:
- Build and maintain relationships with internal teams, external stakeholders, and volunteers to ensure smooth collaboration.
- Facilitate communication to ensure that requests and queries are handled promptly and effectively.
Qualifications and Experience:
- Bachelor's degree in any discipline from a reputable university.
- Excellent Written and Presentation Skills.
- Critical thinker who can work independently and collaboratively
- Adaptable, with strong problem-solving skills and attention to detail.
- Able to handle sensitive and confidential information with discretion.
- Experience in administration, project management, policy development, strategic planning, will be an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant office software.
- Proficiency in Tamil to engage with foreign staff.
