Job Duties:

• Provide secretarial support to a team of senior stakeholders (5-6 pax)
• Handle extensive complex travel management, visa applications, that includes booking of air tickets, hotel room, car transfer, plan travel itinerary, match travel plan with business meeting schedule etc.
• Arrange logistics of tele and video conference calls, and schedule meetings including booking of meeting rooms
• Processing of expense claims and reports
• Generating various daily, monthly, and quarterly portfolio reports
• Other ad hoc duties as assigned

Job Requirements:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, any field.
• At least 5-10 year(s) of working experience in the related field is required for this position.
• Preferably Senior Executives specializing in Secretarial/Executive & Personal Assistant, Banking/Financial Services or equivalent.

Location: Westwood Secondary School, 11 Jurong West St 25, Singapore 648350
Contract Period:

• 15 January 2025 to 31 May 2025
• 1 July 2025 to 31 October 2025 (approximately 9 months)

Option to Extend: The Authority has the option to extend the contract for the following periods:

• 1 January 2026 to 31 May 2026
• 1 July 2026 to 31 October 2026 (approximately 9 months)
  The option to extend is at the Authority’s discretion and will be communicated through written notice before the expiration of the contract.

Working Hours:

• Mondays to Thursdays: 7:30 AM to 5:00 PM (inclusive of 1-hour lunch break)
• Fridays: 7:30 AM to 4:30 PM (inclusive of 1-hour lunch break)
• Service is not required on Saturdays, Sundays, or gazetted public holidays.

Key Responsibilities

1. Supervision and Maintenance of GEAR-Up Room

• Supervise students in the GEAR-Up Room to ensure productive use of time.
• Ensure students clean up the GEAR-Up Room and canteen area before leaving.
• Oversee that all equipment is properly cleaned, switched off, and stored in the correct locations after use.
• Work with the Teacher-in-Charge (TIC) to organize or conduct structured activities in the GEAR-Up Room.

2. Supervision of Gym Room and Sports Hub

• Supervise and ensure the safety of students in the gym room and sports hub.
• Clean the gym room and sports hub after use, ensuring the facilities are tidy and safe for the next users.

3. Other Administrative Duties

• Assist with any additional tasks assigned by the school leaders, ensuring all responsibilities are carried out efficiently.

Qualifications and Experience

Essential Skills and Qualifications

• Ability to communicate effectively and work well in a team setting.
• Prior experience in administrative roles or logistics-related work is an advantage.
• A proactive and responsible approach to student supervision and facility management.

Preferred Skills and Experience

• Experience in supervising and managing student activities.
• Familiarity with the requirements of maintaining sports facilities and classrooms.
