The main task of this role is to provide administrative support, including the processing of invoices and payments to vendors, communication with customers and vendors, and other office management duties.

Responsibilities

• Collect, collate and follow-up on billing & payment including raising Purchase Orders, invoicing & payments
• To handle and manage Xero Accounting Software
• Ensure all documents are properly saved, filed/uploaded into the correct adviser’s/client’s folder.
• Handle calendar management and scheduling of meetings
• Monitor and arrange for execution of documents
• Assist with training registration and maintain training register and database
• Build and maintain good working relationships across all levels of personnel, internally and externally
• Responsible in payroll process, claims expenses, and other related matters
• Liaise with the external auditor and tax agents
• Process work pass application, renewable and cancellation
• Liaising with customers and vendors to make the necessary rearrangements whenever needed (e.g. during vehicle breakdown or delay due to heavy traffic)
• Undertake other duties and responsibilities as assigned, including any ad hoc assistance required for other staff members and answering queries from advisers

Requirements

• Minimum 2 years working experience as secretary/administration support or other related roles
• Interest in the transport industry
• Strong coordination, interpersonal, organization and time-management skills
• Customer service orientated, attention to detail, highly responsible
• Excellent in written and communication skills for English (and ability to communicate in Mandarin with our Chinese drivers)
• Proficiency in MS Office and be tech savvy to handle other applications/software that we will provide initial training for
• Ability to learn quickly and is capable of working independently in a lean team

Data entry and administrative assistant role

Responsibilities include consolidating and entering data from sales statements and providing administrative support to ensure efficient operations in the Company.

Job Responsibilities:

· Answer all enquiries via social media, phone call

· Entering of data entry, preparation and generating of invoices

· Assist with Management on any ad-hoc duties

. Flexible Working hours: 9am to 5pm. Minimum 3 working days a week. Working days can be discussed further

Job Requirement:

1. Minimum GCE ‘O’ Levels with working experience

2. Experience in data entry would be an advantage

3. Proficient in Microsoft Office

4. Good interpersonal and communication skills

The Job

• Direct contact point between workshop, customer and supplier
• Coordination between workshop and other department (i.e., Ops dept, Rental dept)
• Support the workshop day-to-day operation
• Ensuring workshop operation follow the company SOP closely
• In charge of Accident claim processes
• Handle customer request and issue work order
• Handle customer feedback and coordination work
• In charge of appointment booking and scheduling of job
• Handling of incoming call and outgoing call, including email
• Carry out data entry, document filing and organization
• Managing inventory including keeping track and ordering of spare parts
• Liaising with customers, vendors, suppliers & partners
• Issuing quotation, invoice, cheque
• Collecting payment from customer
• Updating of Customer Relationship Management (CRM) System/ Enterprise Resource Planner (ERP) record

Requirements

• Bilingual (Mandarin and English)
• With prior experience in vehicle servicing workshop and with experience in dealing with accident claim business will be an advantage
• Able to handle multiple tasks efficiently in a fast pace environment
• Team player and positive working attitude
