• Ensures attendance of all training activities as scheduled and assigned and that training records are up to date
• Takes on the role as a buddy for new associates and assists them in learning the tasks required for their position i.e. doing hotel site inspection

Requirements:

• Minimum 1 year experience as co-ordinator/administrator role in a hotel or travel industry
• Minimum diploma holder in hotel accommodation
• Good command of written and spoken English and Chinese as the role may requires communication with chinese speaking associates and/or guest.
• Fully conversant with PC software and Microsoft applications.
• Good telephone manner, interpersonal skill, independent and flexible.

Job Responsibilities:

• Provide comprehensive administrative support to the Operations Department, including scheduling, reporting, correspondence and maintaining operational databases.
• Manage relationships with external vendors and service providers, negotiating contracts, and ensuring that all services provided meet MindChamps standards.
• Ensure that MindChamps complies with all regulatory requirements and internal policies, including safety regulations, accreditation standards and operational protocols. Prepare reports as needed for senior management.
• Maintain and manage inventory records, ensuring that necessary supplies and resources are available for all departments, including educational materials and office supplies.
• Assist in planning and coordinating internal events, including student orientations, staff meetings and other school activities, ensuring all logistical details are handled efficiently.
• Provide administrative support to both students and staff, managing queries and concerns related to operations, facilities or other support services.
• Review and improve administrative processes and procedures to enhance efficiency and effectiveness across MindChamps.

Job Requirements:

• Diploma or Bachelor’s degree in Business Administration, Operations Management, or a related field.
• Minimum 2-3 years of administrative or operations experience, preferably in a higher education setting or private institution.
• Prior experience in the education sector, particularly with private school is a plus.
• Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
• Excellent communication and interpersonal skills to collaborate with internal teams, students, and external vendors.
• Strong problem-solving abilities and attention to detail in managing operational processes and facilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with administrative management systems or CRM software.

Key Responsibilities:

• Trust and Estate Administration: Managing the day-to-day administration of trust portfolios, including but not limited to opening new bank or brokerage accounts, distribution to beneficiaries, fund transfer, and investment management.
• Carry out periodic reviews of assigned trust portfolios to ensure they are being administered in accordance with the trust deeds, the company’s policies, and legal and tax requirements.
• Maintaining accurate and updated trust records. Create Viewpoint Master files, set up and uploaded all trust documents into ViewPoint and maintenance of all necessary principal records and trust files.
• Acts as a primary point of contact for trust clients and ensures transparency in trust administration by providing high-quality customer service to clients, building strong relationships, and maintaining a client-focused approach.
• Ability to draft trustee minutes, resolutions, or any trust related documents.
• Administration of trusts and foundations, including its underlying structure and portfolios.
• Work closely with other departments to coordinate services for clients.
• Collaborate with professional advisors, investment managers and banks in the management of the assets of the trusts and foundations.

Qualifications Requirements:

• Bachelor's degree in business administration, law, finance, accounting, or relevant field.
• Minimum 2 years of experience in Trust Administration or relevant. 1 year+ of experience in solid Trust Administration will be considered and are strongly encouraged to apply (remuneration will commensurate with experience)
• Solid understanding of relevant trust laws and regulations related to trusts, estate planning, taxation, and fiduciary responsibilities.
• Strong analytical skills, attention to detail, and problem-solving abilities.
• Excellent communication skills, both written and verbal.
• Ability to work in a discreet and utmost confidentiality with high ethical standards to protect clients' data.
• STEP qualification will be an added advantage.
