Tay Dental Surgery Pte Ltd (TDS) is hiring a Dental Surgery Assistant. Experienced Dental Assistants looking for Flexible work arrangements.

The job involves assisting the dentist in the various dental procedures, carry out infection control, and if found capable, will be trained to assist the specialists in the clinic.

We are especially looking for people who are passionate about serving others, able to work as a TEAM, humble and hardworking. We are able to provide the training required to be proficient in dental assisting and dental admin.

Dr. Tay will personally assess whether Tay Dental Surgery will provide the stimulating environment for you to grow and flourish. It would be beneficial if you know basic Microsoft Word and Excel, and are contactable via WhatsApp.

Job Scope:

• Handle invoice matching task; receive, review, and verify all invoices and ensure its accuracy and supported with relevant documents before posting to accounting system.
• Ensure all documents are properly filed and scan to document management system.
• Perform monthly vendors’ reconciliation.
• Liaise with vendor to resolve all discrepancies in relation to billing.
• Prepare payment and submit to superior on time.
• Any ad-hoc assignments.

Requirements:

• With a relevant accounting qualification.
• Minimum 1 year of experience in similar capacity.
• Proactive, good team player, mature and able to work independently.
• Possess adequate skills in Microsoft applications such as Excel and Word.
• Able to meet a tight deadline.

Tay Dental Surgery is located within Bukit Timah Plaza. We have been at this location for 26 years. We have 7 dentists, 3 of whom are specialists.

The job description of the administrative assistant are as follows:

• Provides administrative support to ensure efficient office operations.
• Maintains physical and digital filing systems.
• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Uses word processing and presentation software to create and edit documents.
• Operates and maintains clinic and office equipment, including digital scanner, imaging machines, compressors, autoclaves, dental units, airconditioners, printers, copiers, and fax machines.
• Works with maintenance staff and outside vendors to ensure clinic and office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
• Presents a positive and professional image for the organization.

· Provide administrative support for HR executives

· To handle MOM - WPONLINE & EPONLINE

· Organize, compile, update company personnel records and documentation

· Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off

· Help in payroll management, preparation and payment

· Prepare, manage and store paperwork for HR policies and procedures

· Answer employees’ questions and provide requested information

· Maintain schedule and coordinate calendar activities

· Assist recruiters in posting job ads on careers pages and processing received resumes

· Answer telephone calls and provide needed information

· Labour Monitoring, insurance and other adhoc works

· In charge for Employees Training

· In charge for Company Insurance (WICI, FMI, PL), Company vehicle VPC, Motor Insurance, Road Tax

· Help organize and manage new employee orientation, on-boarding, and training programs
