We are seeking an accomplished Assistant IT Manager to join our pre-opening team in Mandai Rainforest Resort by Banyan Tree.

As part of the pre-opening team, the successful candidate will play a pivotal role in setting up, maintaining and enhancing the Resorts' IT systems. The candidate will be responsible for ensuring the operational stability and high service availability of our systems, for both guests and internal stakeholders.

Key Responsibilities

• Working with the IT Manager, the incumbent will set up and ensure that the Resort's IT systems, including our Hotel Management System, are updated based on the current release as guided by our corporate office.
• Manage any IT issues that may occur and pro-actively resolve them to minimize any downtime for guests and/or internal stakeholders. In performing this role, the Assistant IT Manager is to work with the IT Manager to recommend any improvements because of the occurrence.
• Assist the Resort’s guests with any system or technical-related matters. The incumbent would need to liaise with the Front-of-House team to respond to any guest-related IT requests.
• Ensure that our systems are protected by the necessary security procedures and protocols, including the timely revision of user access right and passwords for both the PMS and PC Network systems.
• Provide regular management reports and document all system activities (e.g. Maintenance Logs, Data Change Logs)
• Ensure the accuracy and computer audit trail of daily and monthly financial reports.

Job Requirements

• Possess a degree, diploma or equivalent professional qualification in Information Technology or a related field.
• At least 4 to 6 years of relevant IT experience, in a similar capacity. Proven track record in a similar property. Prior experience as part of a pre-opening team for a Resort will be an advantage.

Job Description

Patient Care

1. Register patients in the CMS (clinic management system) after verifying the eligibility with government and corporate benefits.
2. Updating TPA benefits in CMS to ease post consult and payment process.
3. Assist the Doctor in minor surgical procedures
4. Perform minor procedures (e.g. ECG) and taking of patient’s vitals and to update in the CMS
5. Ensure that right medication, right dosing, right quantity and right administrative route is dispensed accurately to the right patient and explained to the patient meticulously.
6. Ensure that proper collection from each patient after considering Govt schemes/ Corporate benefits. Also, ensure opening balance of float cash is accurate
7. Assist patients in making follow up appointments and scheduling of visits

Clinic Care

1. Ensure that the clinic is in working order prior to start of clinic shift
2. Top up consumables in Doctor's/treatment room
3. Washing of medical devices and equipment’s and performing sterilization (eg. autoclave)
4. Follow up on administrative tasks, scanning and sending of documents (referrals, labs, radiology) into the patient files. Also, tracking and releasing of patient reports
5. Perform administrative duties such as daily fridge temperature recording, sharp box disposal etc.
6. General housekeeping of the clinic to keep the place a safe and inviting place.
7. Closing of shift, including tallying of daily takings against payment mode
8. Ensure all medical devices are in working order daily and alert the Clinical Director for maintainence.

Inventory and other Administrative tasks

1. Perform timely claims (e.g. HSG, CHAS, Medisave, TPA)
2. Liaise with vendors (e.g. laboratory and radiology) for collection of samples and receiving of reports.
3. Manage rosters for Clinic Executives and locum Doctors
4. Attending to inbound enquiries from patients via various channels (WhatsApp, phone, e-mails)
5. Ensure good practices are implemented for inventory management and conduct periodic inventory reconciliation

• Manage medical bills (approved clinics and input medical claim details into the HR system)
• Schedule and monitor six-monthly medical examinations.
• Manage inventory for stationery and first aid items, ordering replenishments as needed.
• Liaise with vendors for uniforms/safety shoes, including distribution to employees
• Oversee maintenance office equipment; photocopiers to ensure accurate billing of meter readings.
• Manage telco billing for company landlines and corporate mobile lines.
• Record and track incoming and outgoing slow mail.
• Conduct housing inspections and prepare reports.
• Handle incoming calls, emails and other communications, ensuring timely responses or redirection.
• Prepare monthly reports for office supplies, uniform and safety shoe inventory, medical claims etc.
• Undertake other tasks as assigned by superior.

Requirements:

• ITE/Diploma in Human Resources, Business Administration or a related field.
• Strong organisational and time-management skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent written and verbal communication skills.
• ttention to detail and accuracy in managing data and reports.

Job Description

• Handle onboarding, offboarding and discipline matters
• Manage all staff leave related processes
• Contract Renewal, Emplacement & Promotions
• Handle Grants & Claims
• Contribute ideas and suggestions for continuous improvement in HR through streamlining of work processes and practices.
• Manage employee inquiries and provide support on HR-related matters
• May need to manage full suite of staff recruitment process which includes but not limited to sourcing, screening and coordinating interviews.
• Other ad-hoc duties assigned by management.

Requirements:

• Diploma in Human Resource with minimally two years of relevant experience
• Comfortable to travel as you may need to travel on site (islandwide) when needed
