JOB DESCRIPTION

Job Description:

- Organizing and categorizing invoices by stall and supplier.

- Scanning and digitizing documents.

- Processing petty cash claims, including sorting invoices and receipts, and completing claim forms for operational staff.

- Assisting with inventory record-keeping as needed.

- Supporting the generation of monthly rental invoices when required.

Requirements:

- Part-time position: Approximately 4 hours per day (Monday to Friday), S$8.00 per hour.

Summary

We are seeking a highly organized and proactive Assistant to provide essential support across Finance, Human Resources (HR), and Administrative functions. The ideal candidate will play a key role in ensuring the smooth operation of these departments, contributing to the efficiency and productivity of the organization.

Duties and Responsibilities include the following

Finance Support:

- Assist in processing invoices, expense reports, and payment requests.

- Support the preparation of monthly financial reports and

reconciliations.

- Maintain accurate records and organize financial documents for

audits and compliance purposes.

- Coordinate with vendors for payment and invoice-related queries.

HR Support:

- Assist in maintaining employee records and updating HR databases.

- Coordinate onboarding and offboarding activities.

- Support HR processes such as leave management and performance

evaluations.

- Help organize employee engagement initiatives and training sessions.

Administrative Support:

- Manage office supplies and ensure the workplace is well-stocked and

organized.

- Handle incoming and outgoing correspondence, including emails and

mail.

- Schedule and coordinate meetings, appointments, and travel

arrangements.

- Provide general clerical support, including filing, data entry, and

document preparation.

- Answer and direct phone calls and handle inquiries in a courteous

and efficient manner.

- Manage visitor logs and issue visitor badges as needed.

- Receive and distribute incoming deliveries and coordinate outgoing

shipments.

- Ad-hoc reports / projects / events

Requirements

- Prior experience in Finance, HR, Administrative, or Reception roles is

an advantage.

• Hand on install automation machines & systems with meeting planned project & production schedule.
• Maintain and suggest improvement for existing automated production lines.
• Create, prepare, update automation project documentation, procedures & drawings of Gantt chart, weekly progress report, process / equipment flow chart, validation list, buy off/FAT/SAT (Factory / Site Acceptance Test) procedure, mechanical assembly & layout drawing, electrical diagram & wiring, I/O list, co-robot & PLC program, SOP (Standard Operation Procedure), WI (Work Instruction) & PM (preventive maintenance) check list.
• Update & back up automation system documentation, procedures, drawings, software, co-robot & PLC programming timely.
• Coordinate with internal team (Sales, Quality, Project, Production, maintenance) and external supplier to make projects successful.
• Participate of root cause analysis of product failure within cross functional team.
• Prepare machines preventive maintenance check list and train operation & maintenance staffs.
• Monitor automation system performance and provide support & perform service production automation line when necessary.

Requirements

• Diploma of Engineering in Automation / Mechanical /Mechatronics / or equivalent. Fresh graduates are welcome, on job training will be provided.
• ITE with serval years’ experience are welcome.
• Experience in automation machine design are advantages.
• Hands-on experience of electrical and mechanical assembly & installation
• Knowledge on Mechanical/Mechatronics/Electrical components.
• IT skills (MS Office)

Job Purpose:

• Hands-on experience with knowledge of full spectrum of accounts
• Efficiently undertake a range of duties related to the accounting/bookkeeping/treasury function of the business.

Key responsibilities:

1) Perform full spectrum of Accounts Payable, Accounts Receivable and fixed asset function for several legal entities including invoice posting

2) Ensure all disbursements for vendor invoice and staff claims are processed timely and accurately and comply to policies and regulations

3) Work closely with other functions to proactively manage and resolve payment and receivable issues effectively and efficiently

4) Cash management including funding requirement and managing cashflow

5) Prepare month-end reconciliations and journals

6) Assist Snr Accounts Executive in month end closing

7) Assist in-country compliance with government regulations including external audits and tax returns

8) Any other ad-hoc tasks from management

Requirements:

a) Accountancy in Diploma/Degree or equivalent certificate

b) At least 2 years of general accounting experience is advantageous

c) Has prior working experience with China accounts will be preferred.

d) Knowledge of VAT/GST and withholding tax is advantageous

e) SAP Business one experience will be advantage.

f) Knowledge of Microsoft Office. Computer literate with the ability to learn new software applications.

g) Positive working attitude with a high level of initiative

h) Good interpersonal and communication skill

i) Meticulous, able to work independently as well as in a team

j) Work requires willingness to work a flexible schedule.
