Responsibilities:

1. Executive Administrative Support

• Manage the Director’s schedule, including arranging meetings, appointments, and coordinating travel plans.
• Prepare, review, and organize documents, reports, and presentations for meetings.
• Handle incoming and outgoing correspondence, ensuring timely responses and follow-ups.
• Maintain and organize confidential files, ensuring accessibility and security.

2. Meeting and Agenda Coordination

• Plan and coordinate meeting agendas and logistics, ensuring readiness of materials.
• Accurately document and distribute minutes of meetings, highlighting key action points.
• Monitor progress on assigned follow-ups to ensure timely completion of tasks.

3. Travel and Event Management

• Plan and organize comprehensive travel itineraries, including flights, accommodations, and ground transportation.
• Handle visa applications and other necessary travel documentation.
• Assist in coordinating company events, conferences, and off-site meetings.

4. Communication and Stakeholder Engagement

• Serve as the primary point of contact for the Managing Director, managing calls and correspondence professionally.
• Act as a liaison with internal teams, clients, and external partners to facilitate effective communication.
• Ensure consistent and clear communication between the Managing Director’s office and other departments.

5. Office and Workflow Management

• Oversee the office environment for the Managing Director, ensuring it remains organized and well-maintained.
• Coordinate with facilities and IT teams to address office-related issues or requirements.
• Manage inventory and procurement of office supplies for the Managing Director’s needs.

6. Special Projects and Research

• Provide support for special projects, including research, data compilation, and presentation preparation.
• Assist in planning and executing strategic initiatives as directed by the Managing Director.
• Perform ad hoc tasks and responsibilities as assigned.

Requirements

• Diploma or Degree in Business Administration, Management, or a related discipline.
• 3–5 years of experience as a Personal Assistant or Executive Assistant in a dynamic professional environment.
• Proven ability to manage multiple priorities efficiently with a strong sense of urgency.
• Excellent written and verbal communication skills, with proficiency in Microsoft Office Suite and scheduling tools.
• High degree of discretion and professionalism when handling sensitive or confidential information.
• Exceptional organizational skills and keen attention to detail.
