Position Overview

The Financial Planning & Analysis (FP&A) Analyst will be responsible for the P&L for certain Distributor markets, working with regional and corporate finance leadership, alongside cross-functional departments in the business. The Administrative Executive is responsible for providing administrative support to ensure the smooth and efficient functioning of the department initiatives within the hospital. This role involves the coordination and maintenance of accurate records, meetings, and supporting the implementation of quality management projects.

RESPONSIBILITIES

Documentation Management:

• Maintain accurate and up-to-date records related to quality management.
• Organize and file documentation in compliance with regulatory standards.

Data Entry and Analysis Support:

• Assist in data entry for quality metrics and performance indicators.
• Generate basic reports and assist in data analysis under senior staff guidance.

Meeting Coordination:

• Schedule and coordinate meetings for the Quality Management team.
• Prepare meeting agendas and distribute relevant materials.

Communication and Correspondence:

• Facilitate communication between internal and external stakeholders including team members, other departments, external healthcare institutions, among others.
• Draft routine correspondence and respond to inquiries as directed.

Assist in Quality Projects:

• Support the implementation of quality management projects.
• Collaborate with team members to ensure project timelines and deliverables are met.

QUALIFICATIONS/REQUIREMENTS

• Minimum Diploma.
• At least 2 years working experience.
• Good speaking and writing skills
• Proficient in computer skills including Microsoft Office (e.g. Excel, Words etc.)
• Self-disciplined, motivated, self-starter, Meticulous
• Ability to work collaboratively in a team environment

As a Executive Building & Facilities Management, you will be responsible for the following duties:

• Facility Maintenance & Operations: Oversee and maintain company facilities, ensuring high standards of upkeep, safety, and functionality for an optimal work environment. Supervise all maintenance and administrative activities, including site inspections, employee support, and facility enhancements.
• Project & Contract Management: Plan, monitor, and execute all repair, maintenance, and renovation projects from cost estimation to documentation. Handle vendor sourcing, contract negotiations, and ensure quality service delivery within budget.
• Health & Safety Compliance: Implement and manage EHS (Environment, Health & Safety) protocols. Regularly review policies on fire safety, health, risk, and disaster recovery to meet compliance and operational efficiency.
• Budget & Resource Management: Prepare, track, and manage facility budgets, aiming for cost-effective resource use. Monitor expenses, contract invoicing, and manage cost-saving initiatives.
• Staff Supervision: Lead and train the Building and Facilities team, ensuring efficient staffing, performance management, and adherence to operational standards.
• Emergency Preparedness: Conduct fire drills and tabletop exercises; ensure security and respond promptly to alarms and facility issues.
• Liaison & Documentation: Represent the company with regulatory bodies, oversee necessary certifications and permits, and maintain comprehensive records for all facilities.

Requirement:

• Minimum 5 years as executive/senior executive/supervisory role in related field
• Diploma or Bachelor's degree in Facilities Engineering or related qualifications such as facilities, project management, business management or construction management

Key Responsibilities:

Level 1 Support (Basic Troubleshooting and User Support):

• Provide first-line support for Microsoft Dynamics 365 (CRM) users via email, phone, or ticketing system.
• Troubleshoot basic user-reported issues, including login problems, permissions, and user interface errors.
• Assist with password resets, user account management, and basic configuration issues.
• Create and manage support tickets in the service management tool (e.g., ServiceNow, Jira, ManageEngine).
• Escalate complex issues to Level 2 to external vendors and identify the root cause problems, work with vendors and response within the agreed SLA.
• Conduct routine health checks to ensure the proper functioning of the platform.
• Provide training to users on new features, system updates, or best practices.

Level 2 Support (Advanced Troubleshooting and Configuration):

• Investigate and resolve more complex issues related to Dynamics 365 customizations, configurations, workflows, and data integrations.
• Perform root cause analysis for system errors, performance issues, or failed integrations.
• Handle troubleshooting of Dynamics 365 plugins, workflows, business rules, and custom entities.
• Manage system configurations, including user roles, security roles, permissions, and business units.
• Support data migration, data imports/exports, and resolve issues related to data integrity.
• Assist with the configuration and customization of Dynamics 365 entities, forms, and views to meet business needs.
• Analyze and resolve integration (API) issues with other third-party applications (e.g. HR, Hubspot, legacy systems) or internal systems.
• Collaborate with the development team on custom plugins, scripts, or business logic.
• Perform testing and validation on Dynamics 365 customizations or updates before deploying changes to production.
• Document and maintain troubleshooting steps, known issues, and common resolutions for team knowledge base.

Key Skills & Requirements

Technical Skills:

• Proficiency in Microsoft Dynamics 365 CRM applications (Sales, Customer Service, Field Service, Marketing, etc.).
• Experience with customizations including entity creation, form design, views, dashboards, and business rules.
• Familiarity with Power Automate, Power BI, and PowerApps for automation and reporting.
• Basic knowledge of JavaScript for form customizations and client-side scripting.
• Familiarity with SQL and Advanced Find queries for reporting and troubleshooting.
• Experience with data imports/exports and data integrity issues.
• Understanding of Microsoft Azure and cloud-based deployments of Dynamics 365.
• Ability to troubleshoot Dynamics 365 system performance and user experience issues.

Experience:

• 1-3 years of experience in Microsoft Dynamics 365 support or administration (for L1).
• 3-5 years of experience in Dynamics 365 administration, customization, or technical support (for L2).
• Experience supporting CRM or ERP solutions is a plus.
• Familiarity with integration tools such as Azure Logic Apps is a plus.
• Experience with Power Platform (Power Automate, Power BI) is highly desirable.
