JOB DESCRIPTION

JOB SUMMARY

1. Respond quickly and efficiently to all reservations-related requests made by prospective hotel guests, corporate bookers, travel agents and co-workers. Promotes room sales through phone contacts and maintains a good relationship with business contacts. Assist the Reservations Manager to ensure the smooth operation of the department. Receiving and Inspection:

• To receive and inspect all incoming inventories, including supplies, equipment, and merchandise, ensuring they meet the Resort’s quality and quantity requirements.
• Ensure all inventories are not damaged and received in accordance with the Purchase Order.

Documentation:

• Prepare and maintain detailed records of all received items, including packing slips, invoices, and delivery notes. Ensure that all documentation is filed correctly.
• Report discrepancies if there’s any.

Storage and Organization:

• Ensure proper storage of received inventories in designated areas.
• Maintain an organized storage room to facilitate easy retrieval and prevent loss or damage.

Communication:

• Liaise with suppliers, vendors, and internal departments to address any issues related to shipments, discrepancies, or quality concerns. Ensure timely and effective resolution of any problems.

Job Requirements

• Higher NITEC, NITEC or an equivalent professional qualification
• 1 – 3 years of experience in receiving or inventory management, preferably in a luxury hotel or resort setting.
• Strong time management and organizational skills.
• Strong communication skills and pay great attention to details.

• Maintaining accurate and up-to-date records of financial transactions, including accounts payable and receivable, general ledger entries, and bank reconciliations.
• To prepare invoices for reporting.
• Preparing all Final Disbursement Accounts (FDA) accurately and within deadlines.
• Prepare and arrange 'Cash To Master (CTM)' with vendors.
• Process payment to suppliers and staff reimbursement.
• Prepare monthly AP journals, postings and schedules.
• Any other adhoc tasks as assigned by your immediate supervisor.

Roles & Responsibilities

1. Dual Certification and Registration:

The WSHO cum ECO must be registered with the Ministry of Manpower (MOM) as a Workplace Safety and Health Officer.

The individual must also be registered with the National Environment Agency (NEA) as an Environmental Control Officer.

2. Experience Requirement:

The candidate must have at least 3 years of post-registration practical experience that is relevant to the scope of work under the contract. This experience is crucial to ensure the individual is competent to manage safety, health, and environmental matters effectively.

3. Ensuring Compliance with WSH and Environmental Legislation:

The WSHO cum ECO is responsible for ensuring that all works are planned and executed in strict compliance with all Workplace Safety and Health (WSH) and Environmental legislative requirements.

This includes ensuring adherence to the Workplace Safety and Health Act, Environmental Protection and Management Act, and other relevant laws, regulations, and guidelines.

Compliance with both the legislative requirements and contractual safety and environmental obligations is a key responsibility of the WSHO cum ECO.

4. Safety and Health Management:

Plan and implement safety procedures: The WSHO cum ECO must develop and maintain a Safety Management System (SMS) that addresses all hazards related to the project.

Monitor and review work processes to ensure they are carried out safely and in compliance with the WSH regulations.

Conduct risk assessments to identify and mitigate risks before work begins.

Carry out safety inspections on-site to identify any unsafe conditions or work practices and take corrective actions as needed.

Ensure that all workers are trained and competent in safety protocols, including the proper use of personal protective equipment (PPE) and safety measures.

5. Environmental Management and Control:

Develop and implement an Environmental Management System (EMS) to ensure compliance with all environmental regulations, especially concerning noise control, air and water pollution, and waste management.

Conduct environmental audits and inspections to ensure the site remains compliant with the National Environment Agency (NEA) guidelines and environmental regulations.

Oversee the safe disposal of waste and ensure that waste management practices meet environmental standards.

Monitor for potential environmental hazards, such as air or water pollution, and take corrective actions to mitigate environmental risks.

6. Compliance with Code of Practice for Temporary Traffic Control at Work Zones:

The WSHO cum ECO must be familiar with the Code of Practice for Temporary Traffic Control at Work Zones and ensure full compliance with this code throughout the project.

This includes overseeing the planning and implementation of temporary traffic control measures to ensure the safety of workers, motorists, and pedestrians around the work zone.

Conduct regular inspections of traffic control setups to ensure they meet the required safety standards, and adjust measures as needed to minimize risks.

Work closely with authorities and stakeholders to coordinate traffic management plans and ensure smooth operation around the work area.

7. Incident Investigation and Reporting:

The WSHO cum ECO must investigate all safety, health, or environmental incidents, near misses, and accidents that occur on-site.

Prepare incident reports and recommend corrective measures to prevent future occurrences.

Ensure that all incidents are reported to the relevant authorities in accordance with regulatory requirements.

8. Collaboration and Communication:

Liaise with contractors, supervisors, workers, and external authorities to ensure all safety, health, and environmental standards are upheld.

Provide safety and environmental briefings to workers, supervisors, and stakeholders to keep them informed of the latest developments and expectations.

Act as the point of contact for regulatory inspections and audits related to safety, health, and environmental matters.

Requirement:

· At least 2 years of relevant experience in construction industry preferably 2 years with developer/main contractor

· Must be a registered Workplace Safety and Health Officer with MOM and have been practicing as WSHO for at least 2 years in Experience

· Has developed a Risk Management Implementation Plan (bizSAFE Level 2) or equivalent

Job Description:

• Ensure compliance of operations and works performed by workers according to WorkplaceSafety& Health regulations and statutory requirements.
• Scrutinize and sign permits & prepare risk assessment.
• Perform daily morning toolbox meeting before commencement work & plan for training /courses for workers etc.
• Update all safety records for workers & monthly inspection for Fire Extinguishers, Lifting gears,Machineries, etc.
• Liaise with Government Agencies, such as MOM, NEA & others for safety matters.

Job Specification:

• Degree holder with at least 5 years of working experience in Workplace Safety & Health inMarine Shipbuilding industry.
• Well versed in the local Workplace Safety & Health legislations and other regulatory compliancerequirement.
• Registered Workplace Safety and Health Officer (WSHO), Fire Safety Manager (FSM) andcertified Confine Space Trainer.
• Possessed ISO Auditor Certification and qualifications.
• Holding the certificate of Confined Space Safety Assessor, Hot Work Safety Assessor and Workat Height Safety Assessor added advantage.

The WSHE Officer is responsible for carrying out all the environmental, health and safety tasks to create and maintain a safe workplace and culture.

A summary of the responsibilities of this position are, and not limited to, as follows:

• Discharge duties as relevant in the WSH Act, WSH (Workplace Safety and Health (Officers) Regulations and Environmental Public Health Act
• Implement and maintain proper procedures of WSHE management, administrative and recording system
• Assist the WSHE committee chairman, act as secretary to the committee and provide guidance to the members in carrying out their safety duties
• Conduct team/ individual WSHE inspections and produce relevant reports and follow-ups
