Job Purpose

The Tenant Engagement Officer is responsible for planning, organising, and managing marketing campaigns, promotional activities, and tenant-related initiatives. This role ensures alignment with corporate objectives and guidelines, fostering strong tenant relationships and enhancing engagement.

Responsibilities

1. Tenant Management

• Maintain an updated database of tenant information, including contact details, categories, and asset information
• Organise and store tenant assets in shared drives, ensuring accessibility for stakeholders.
• Upload tenant assets onto the website and other relevant platforms.
• Facilitate onboarding for new tenants by:Obtaining contact details from the leasing team.
  Sending welcome emails with engagement session registration links.
  
• Ensure online shop directory listings are accurate, complete with logos and images.Coordinate with tenants to obtain missing assets via email, calls, or site visits.
  Maintain high standards for asset quality.
  
• Manage tenant promotions by:Verifying images, details, and mechanics for publication.
  Organizing monthly email blasts to solicit promotions.
  Keeping published promotional information accurate and up to date.
  

2. Tenant Engagement

• Coordinate engagement sessions between management and key tenants (High revenue tenants and new tenants).
• Organise annual tenant engagement events (e.g., Chinese New Year celebrations) and partner-sponsored initiatives (e.g., collaborations with TikTok, USME).

3. Tenant Asset Acquisition

• Collect tenant assets through various channels, including email, calls, and site visits.
• Track and consolidate the status of asset acquisition.
• Ensure assets are properly filed internally and shared for public use.

4. Tenant Promotion Management

• Facilitate monthly tenant promotion submissions.
• Oversee the publication of submitted promotions on the website.
• Monitor and update promotion statuses to ensure validity.

5. Tenant Advertising Support Package

• Ensure new and renewing tenants receive their advertising support package.
• Highlight new and renewing tenants through advertising initiatives.

Qualifications & Work Experience

• Diploma in events management / business management or any related fields
• Fresh graduates are welcome to apply
• 1 - 2 years of customer service and managing tenants would be ideal

Skills

• Strong Communication Skills: Clearly articulate processes, requirements, and objectives to tenants.
• Organisational Expertise: Efficiently manage and track tenant submissions, filing, and updates.
• Marketing Proficiency: Background in marketing with demonstrated experience in social media strategy, content creation, and campaign management.
• Design Capabilities: Basic graphic design skills to create promotional materials using tools such as Canva, Adobe Photoshop, or equivalent platforms.
• Bilingual Capability: Proficiency in Mandarin is preferred to liaise with Mandarin-speaking tenants.

The Admin Officer will play a key role in providing comprehensive administrative support to the team, ensuring smooth operations and efficient management of office resources. Roles & Responsibilities:

Administrative Support

• Maintain and update administrative databases for staff and clients.
• Prepare regular reports.
• Coordinate programme logistics and manage the inventory database.
• Monitor office supplies (e.g., toiletries, stationery, refreshments) and initiate orders for replenishment when needed.
• Take minutes during meetings.
• Ensure timely repair and maintenance of office facilities and equipment through the necessary office processes.
• Provide general administrative and operational support to the team (e.g., processing monthly claims)

Support the KidSTART Practitioners’ (KSP) work with families, whenever necessary

• Accompany KSP for home visits and provide basic support in the engagements of children and/or caregivers.
• Support in information gathering and relevant assessments.

Candidate Profile:

• Minimum of a Diploma qualification in any discipline.
• At least 2 years of experience in office administration, human resource operations, or finance operations (preferred).
• Strong organizational skills with the ability to manage multiple projects and meet deadlines independently.
• Excellent written and verbal communication skills.
• Adaptable and quick to respond to changes.
• Proficient in Microsoft Office Suite (MS Excel and MS PowerPoint, in particular).
• Passionate about working with children and caregivers.
