Keeping our budget in check

Are you a financial expert who lives and breathes numbers? Working with the Finance Manager, you’ll keep a watchful eye on facility budget and vendor invoices, communicate with key facility personnel and provide approvals when needed. You’ll also team up with finance teams across all facilities during quarterly and annual budget forecasting.

Likewise, you’ll monitor all monthly bills and see to it that they are submitted and reimbursed to the subcontractors within the agreed timeline. You’ll also be the go-to person for all quarterly purchase orders—covering all our bases from raising orders to obtaining necessary approval. In addition, you’ll follow up with appropriate costs centres to recover costs.

Beating report deadlines

Another important facet of the role is generating reports, and the ideal candidate must be equipped with superior management skills to ensure the accuracy and timely submission of requests, reports and analysis, and business cases. On top of these, you’ll closely monitor vendor contracts and renewals, and ensure that we meet all legal parameters for our clients.

Job Description:

We are seeking a highly experienced Quantity Surveyor (QS) with extensive knowledge of Singapore's tender platforms and submission methods. The successful candidate will play a crucial role in competitive tendering, project management, and client communications, ensuring the smooth delivery of awarded projects.

Key Responsibilities:

Expertise in tender platforms and submission processes, ensuring tenders are accurately quoted and submitted based on company strengths and tender requirements.

Attend tender site briefings, preparing quotations that align with project specifications and client expectations.

Design solutions according to client expectations and ensure they are reflected in tender submissions.

Organize and present post-tender clarification meetings, preparing responses and managing client queries.

Submit required tender documents, including organizational charts and project track records.

Roles & Responsibilities:

Facilities Management

• Oversee daily operations and maintenance of the office space, including cleaning, repairs, and preventative maintenance.
• Manage vendor relationships for cleaning, security, and other services.
• Ensure compliance with all relevant safety regulations and building codes.
• Manage and track facility budgets effectively.
• Provide access to project manager and/or external contractors for renovation projects of the workspace as required.
• Manage and provide relevant facilities related data to real estate, security or any other team as per established protocol.

Experience Management

• Work with Employee Services and Employee Experience (EXES) team to standardize on-site employee experience in line with laid down protocols at other offices.
• Work with EXES team on rolling out of company-wide initiatives.

Event Management

• Support event logistics, including set-up, coordinating with external vendors hired by business unit and, catering (if requested) and coordinate with event organizers.

Community Engagement

Sustainability Program

Contract Lodgement and Procurement

• Seek relevant approvals on site level initiatives

• Track relevant spends, get approvals for variations and any other financial processes as per established protocols.

Qualifications:

Diploma or bachelor’s degree in Facility Management, Hospitality Management, or related field. 3 to 5 years of experience in facility management, preferably in an event space or similar environment, including proven experience in team leadership. Strong understanding of event planning and logistics. Excellent communication, interpersonal, organizational, and leadership skills. Ability to work independently and as part of a team. Proficiency in Microsoft Office Suite. Experience with budgeting and financial management. Strong problem-solving and decision-making skills.

Additional qualifications

Principal Accountabilities

• Single point of contact on site - responsible for ensuring that contractual obligations, including taking accountability for all on-site FMM matters, are met

Client Management

Facilities Manager

• Be able to speak and write Chinese.
• Communicate fluenly in Chinese.
