We are seeking a professional and versatile Front of House Receptionist to manage our reception area, switchboard services, and meeting room operations. Key Responsibilities:

Reception Management:

• Greet and welcome all visitors professionally
• Manage visitor induction, including safety procedures and building information
• Issue and manage security passes and visitor belongings

• Operate helpdesk system for logging and processing work orders
• Route and track work orders to ensure timely completion
• Communicate clearly with end-users throughout the service process
• Monitor service level agreements (SLAs) and escalate as needed
• Participate in ongoing training to improve customer support skills

Mailroom and Document Management:

• Supervise mailroom operations and document archiving systems
• Ensure efficient mail distribution and secure document storage

Security and Compliance:

• Adhere to site security protocols and visitor policies
• Manage "Dawn Raid" procedures and unplanned regulatory visits
• Coordinate with security for additional or after-hours assistance

Administrative Support:

• Manage office supplies for reception and meeting rooms
• Update information packs and notice boards
• Assist with basic office tasks as needed

Reporting and Continuous Improvement:

• Record daily visitor numbers and provide utilization statistics
• Participate in ongoing training and quality improvement initiatives

Qualifications:

• High school diploma or equivalent; associate's degree preferred
• 2-3 years of experience in a receptionist or similar customer service role

Responsibilities:

• Plan, execute, and manage marketing campaigns and access against goals (ROI and KPIs)

Requirements:

Role Purpose

The role is responsible for delivering the compliance and health & safety scope within JLL’s overall scope of service to our Client for a portfolio of corporate real estate and colocation data centres.

This role’s responsibilities include developing the compliance platform, evaluating all current and new compliance regulations, reviewing company processes, and leading training sessions

The Regional Account HSSE Lead will be responsible for implementing and managing HSSE for one of the JLL’s WD Client accounts. The most important objective of this role will be ensuring that our clients, our employees and sub-contractors return home safely at the end of their working day.

The role is highly visible, and the work is fast-paced. The successful candidate must ensure that critical stakeholders, such as employees and clients, receive timely, relevant information and appropriate counsel for HSSE Matters. What this job involves

Performance

• Implement JLL WD HSSE strategic objectives and bring them to life for the account , ensuring effective operational relevance.
• Driving implementation of a property compliance platform, focussed on essential statutory requirements & safety compliance requirements, that provides a real time status across the portfolio
• Direct, prepare, and/or monitor monthly, quarterly, and annual reporting requirements.
• Work with 3rd party compliance consultants to develop statutory requirements applicable for the portfolio and perform quality assurance checks of the compliances in place
• Coordinate building inspections to verify compliance status
• Developing tools and resources for the account team to use to ensure compliances are always maintained
• Direct review of tenant certifications/re-certifications and all related paperwork.

• To monitor progress of the works on site and at any off-site manufacturing facilities and ensure that the site programme is in accordance with the approved construction programme. Any deviations from the construction schedule shall be reported immediately to the Client, PM, SO, SOR and QP. In the event of delays, the Resident Technical Officer shall assist the contractors to mitigate delays but without comprising on the quality.
• To ensure and maintain proper updated records of all works done, including records of tests, inspections, status of works, safety, site diary, material and equipment on site, labour, dayworks, provisional quantities, etc and all other records as directed by Building Control Authorities.
• To study the contract documents and drawings and verify if there are any discrepanciesamong the drawings. All discrepancies shall be brought to the attention of the Employer concerned.
• To ensure that all installation methods and material used are in accordance with the contract drawings and specifications, and report to Client, PM, SO, SOR and QP on any materials that are not conforming to the specifications
• To liaise with the Main contractor and the Architect / M&E / C&S Engineer in the checking and approval of shop drawings, catalogues and samples.
• To liaise with the Main contractor in resolving site problems. All problems on site shall be referred immediately to the Client, PM, SO, SOR and QP. The Resident Technical Officer shall issue sketches or directions as and when necessary. All site memos shall be copied to the Employer.
• To ensure that the Main contractor comply with the Ministry of Manpower’s guidelines and recommendations for construction safety and the owner’s in-house safety management system.
• To attend site, progress, variation and coordination meetings and to keep proper minutes of these meetings.
• To follow up and report to relevant Employer within three (3) days for site issues raised during the meetings.

• To record collate and file all incoming and outgoing design, shop, construction and coordination drawings. All old construction drawings shall be stamped ‘superseded’ and no checking shall be carried out on the superseded drawings.
• To generate defects list, supervise and monitor progress of rectification works and ensure that all defects are rectified as per Employer’s advice.
• To advise the Employer on the percentage of works completed for the purpose of verifying progress payment valuation, and to check contractor’s claims and variation orders.
• To ensure that the contractors record accurately on drawings, the installation works on site. This is to ensure that the as-built drawings reflect accurately the work that has been done on site. Also to check against the Employer’s drawings and identify and highlight the changes of variation orders so that Employer can direct the contractor to finalise the as-built drawings and to maintain a set of updated drawings on site.
• To check on quality of materials delivered to site and report to Client, PM, SO, SOR and QP of any materials that are not conforming to the specification. And to verify reports and claims submitted by contractors and to certify and sign on Delivery Orders
• To submit daily reports and updates to HDB based on an approved format. This will include and not limited to daily noise meter readings, daily safety and manpower reports.
