Facility and Experience Lead

Work Dynamics - Integrated Facilities Management

We are seeking a dynamic Facilities and Experience Lead to oversee and optimize our workplace operations. This role is responsible for managing events, soft services, security and mailroom operations to create an exceptional work environment while ensuring efficient facility management.

Key Responsibilities:

Events and Meeting Room Management:

• Manage event logistics, budgets, and vendor relationships
• Ensure seamless event delivery and positive attendee experiences
• Oversee room booking systems and ensure proper equipment maintenance
• Optimize room utilization and user experience

Soft Services Management:

• Manage cleaning, landscaping, pest control, and waste management services
• Ensure high standards of cleanliness and maintenance across the facility
• Oversee catering and vending services

Hard Services Management:

• Support preventive maintenance programs
• Support repair and replacement works as needed

Security Operations:

• Oversee security personnel and systems to maintain a safe environment
• Manage access control systems and security protocols
• Develop and implement emergency response procedures

Mailroom and Document Management:

• Supervise mailroom operations and document archiving systems
• Ensure efficient mail distribution and secure document storage

Vendor Management:

• Ensure all contractors meet required standards and SLAs
• Develop and manage budgets for all supervised areas
• Identify cost-saving opportunities while maintaining service quality

Health and Safety Compliance:

• Ensure all operations comply with relevant health and safety regulations
• Conduct regular safety audits and implement improvements as needed

Reporting and Continuous Improvement:

• Produce regular reports on facilities performance and user satisfaction
• Implement strategies for ongoing service enhancement

Qualifications:

• Bachelor's degree in Facilities Management, Hospitality, or related field
• 5+ years of experience in facilities management or similar role
• Strong knowledge of facility operations and service delivery
• Proficiency in facilities management software and MS Office suite
• Outstanding communication and customer service skills
• Experience in vendor management and contract negotiation
• Knowledge of relevant health, safety, and environmental regulations

Preparation of Quotations and Tender Submissions to clients.

· Assist in evaluating and selecting competent suppliers and sub-contractors .

· Preparation of variation orders at project intervals.

· Carry out contract administration duties.

· Build rapport and maintain good relationships with existing customers.

· Understand clients needs and provide best value for money solutions.

· Any other related-QS tasks as may be assigned from time to time

Provide administrative support to the office manager, project manager, general contractor, and other construction management staff

Answer incoming phone calls and respond to emails in a professional way

Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying.

Managing all day-to-day HR administration tasks; ensuring that all employee and HR records are accurate and up to date

Handling foreign worker pass applications, etc.

Inducting new staff and overseeing probationary periods

Assisting with monthly payroll

Proficient in Mandarin and English

Educational Level: Diploma and above

- Assist and enforce sites to implement site health and safety plans

- Perform health and safety audits on sites

- Conduct periodic health and safety training for site personnel

- Maintain company's health and safety statistics and records

- Liaise with Government Agencies on health and safety issues, application of factory permits and other safety statutory requirements for compliance by sites

- Update Management on new and current health and safety matters

- Investigate all accidents which occurred and recommend appropriate health and safety measures to prevent their occurance

- Assist Senior Project Manager / Project Manager on all site safety matters

- Ensure that the OHS Management programmes are effectively implemented and maintained

- Promote awareness among staff, workers, contractors, suppliers and etc

- Conduct and plan safety training awareness programmes

- Monitor strict compliance of “Permit to Work” system at worksite & explain the importance to workers at the time of safety talk/tool box meetings

- Coordinate Environmental Control Committee Meeting and implement all environmental control programmes

- Maintain mandatory records and other documentation as required by the regulatory authorities

- Ensure compliance of operations with NEA and EHS regulations

- Prepare Site Environmental Control Report on a regular basis

- Conduct environmental control audit and investigations

- Ensure compliance with environmental regulations, develop environmental control plan, site clean-up plans & monitor their completion

Requirement

• Possess a valid WSHO & ECO registration with MOM & NEA respectively
• Minimum 5 years experience in Singapore building construction projects
• Preferably with relevant experience working as WSHO in HDB's New Built project

To supervise the construction of bored tunnel structures in compliance with the requirements of the BCA ACT & Regulation, and to the requirement of the contracts with the client. Lead a team of Resident Technical Officer in the supervision works. Minimum 3 years of supervision experience in civil engineering projects. Underground/tunnelling supervision experience will be an advantage. Registered Resident Engineer by IES/ACES.
