The International Blue Carbon Institute (IBCI) is committed to advancing the science and support systems essential for realizing the full potential of blue carbon in combating climate change, conserving biodiversity, and providing critical support to threatened coastal communities. Through collaboration with governments, scientists, organizations, and local communities, the IBCI aims to develop and disseminate efficient policies, financing, and implementation strategies for blue carbon ecosystems across three key areas: research and science innovation, developing multi-disciplinary capacity in blue carbon, and creating global networks to implement blue carbon programs and projects.

The Finance Manager, International Blue Carbon Institute supports financial, and administrative functions of the International Blue Carbon Institute. They manage and support financial reporting to provide management with timely and relevant financial information to make informed decisions. The Finance Executive ensures accurate accounting entries and processes payments to vendors promptly in acccordance with Capella Hotel Singapore's policies and procedures.

The Role

Accounts Payable

• Reconcile payments with suppliers' statement of accounts
• Follow up on outstanding invoices and ensure closure
• Ensure prompt and accurate payment to suppliers
• Maintain AP Aging balances according to established policies & procedures
• Update maintenance contract records and follow up with respective departments
• Sort and distribute incoming mail
• Ensure that all suppliers' invoices are properly documented and supported by backups
• Keeping track of all payments and expenditures in an appropriate manner
• Assist Finance Manager to prepare month-end closing financial reports
• Prepare month-end closing accruals
• Prepare month-end Balance Sheet reconciliations for AP related accounts
• Cover General Cashier duties in his/her absence

Other Duties / Tasks

• Count and verify daily cash receipts that are submitted from individual cashiers.
• Document the reconciliation of all cash receipts to the PMS system and complete the daily cash over and short report.
• Consolidate, prepare and make the daily bank deposits in a timely manner.
• Reconcile daily cash submissions from various departments in the hotel against the bank deposits.
• Ensure that all cash-handling employees have adequate monetary change throughout their work shifts.
• Submit foreign currency rate changes to the Night Manager on a daily basis & to ensure that all rates have been updated.
• Make petty cash disbursements and expenses claims according to policy and procedures.
• Reconcile petty cash payments and submit for Assistant Director of Finance's approval.
• Perform a daily cash count of the General Cashier's float and report all counts/discrepancies to Assistant Director of Finance.

• Diploma in Accounting or equivalent
• 2 years of experience in similar role
• Willing to work on weekends or public holidays whenever required

Trade Finance

• Apply for credit lines to banks when appropriate.
• Manage the term sheet discussion for new credit facilities & negotiation on the terms and conditions and pricing with the banks.
• Negotiate & coordinate with banks for financing transactions and ensuring that the deals are followed through. e.g. LC Issuance.
• Coordinate with banks on loans repayment, and ensuring timely repayment of loans.

• Verify and make payment for subsidiaries.
• Responsible in obtaining receipts and issuing receipts voucher.
• Perform Bank Accounts opening and closing.
• Receive bank statements from banks.
• Perform check on daily bank balances
• Obtain bank charges and interest and preparation of ledger
• Perform as cashier for petty cash.
• Cash flow management and forecasting of cash flow
• Verify that incoming/outgoing payments are made on time

OVERVIEW

Overall supervision of the School East and School West junior finance team to ensure that accounts

• Work with the Office Relocation team as Finance Representative in preparation for moving of office, including packing of documents.
• Support the annual asset verification cum asset write-off exercise in preparation for office relocation.
