• Perform daily arrangement for delivery & customers’ collection of goods
• Perform order processing into accounting system

• Manage and build a good relationship with 3rd party transporter to ensure on-time deliveries
• Manage and work closely with Malaysia/Thailand/China team on the day to day operations on daily basis and to ensure that all requirements are met
• Work closely with internal departments to coordinate shipment and to liaise with external parties or forwarders
• To ensure that all inventory transactions are completed within the timeline and maintain stock accuracy
• Coordinate the day to day import/export logistics operations with Malaysia/Thailand/China team and transactions documentation for freight forwarding and other related activities
• Assist to submit GST supporting document to accounts department
• Perform other duties as assigned by the Superiors/ Management

Office Administration:

• Standardize and manage daily office operations.
• Responsible for the procurement and management of office supplies and facilities.
• Maintain filing and document management for administrative forms, contracts, and certificates.
• Record administrative expenses and coordinate with the finance department for cost accounting.

Activities and Coordination:

• Assist in organizing company events, such as team building, D&D.
• Coordinate employee activities and distribution of holiday gifts.

C-level Support:

• Provide administrative and secretarial support to the CEO and management team.
• Manage apartments for expatriates.

Ad-hoc:

• Assist with account applications for employees and onboarding/offboarding processes for new employees.
• Draft and publish internal notices and general administrative documents.
• Ad-hocs assigned by management.

Job Requirements:

• Fluent in both Chinese and English.
• Able to write and speak in Chinese fluently as to communicate well with the stakeholders
• 1-2 years of relevant administrative work experience.
• Strong organizational and multitasking skills.
• Proactive, detail-oriented, and able to work independently.
• Good communication and interpersonal skills.
• Proficient in Microsoft Office software (Word, Excel, PowerPoint).

• Work closely with various departments to ensure the CEO and assigned managers (Executive team) are fully prepared with periodic business reports, materials and collaterals in an accurate and organized manner
• Research and prepare materials for the executive team such as analyzing trends and distilling into concise reports
• Monitor and assist in workstreams and projects assigned, coordinating internal advise and ensure follow up is noted.
• Provide office administrative support in terms of updating, documentation, filing and housekeeping for assigned scopes such as business license renewal, staff engagement activities, etc

• Any ad-hoc duties as per assigned.

Job Highlights

• Contract Duration: 6 - 12 months.

Responsibilities

• Assist with preparing monthly management accounts and financial statements.
• Coordinate with external service providers, including tax agents, auditors, and corporate secretaries.
• Update weekly cash flows and support quarterly GST filings, budgets, and cash flow projections.
• Maintain financial records, including fixed asset registers and intercompany transactions.
• Manage bank accounts, facilitate openings, and assist with AML/KYC checks.
• Support tax filings, compliance reporting, and statutory submissions.
• Process payments, claims, and handle other financial tasks.
• Perform ad-hoc duties as required.

Requirements

• Singaporean only.
• Knowledge or experience in finance would be advantageous.
• Experienced in AML/KYC management, taxing, accounts receivable & payable would be advantageous.
• Proficient in Microsoft Offices.
