PRIMARY OBJECTIVE

• Perform the daily BAU operations, i.e. loan disbursements, repayments, fee collections, prepayments, rollovers and redemptions, monitoring and sweeping of funds from special-purpose accounts, e.g. DSRA, Operating accounts for loan repayments and monitoring of scheduled repayments for bilateral and syndication deals.
• Perform GL reconciliation & ensure outages are resolved within stipulated turnaround time.
• Ensure accuracy, efficiency and meets the agreed turnaround time with the Business Units while avoiding operational risks and losses.
• Support the department’s effort to improve productivity, efficiency and lower costs via continuous process improvements.
• Maintain good business relationships/partnerships with key stakeholders, aligning actions to customer needs.

KEY RESPONSIBILITIES

Customer/Market – Business Transformation

• Perform loan disbursements, repayments, rollovers, redemption and fee collection with accuracy and within the stipulated turnaround time.
• Respond to Business Units’ requests and enquiries within a stipulated timeline.
• Collaborate with the Team Lead to engage the Business Units on a regular basis to resolve BAU issues and improve cooperation between the teams.
• Actively participate as a member of a team to move the team towards completion of goals, i.e. develop a service-oriented culture within the team.

Process Digitalization or Automation/STP

• Participate in process digitalization or automation initiatives.

Productivity Improvement

• Ensure all SLA/TAT are being met.
• Ensure work is completed with speed and accuracy.
• Contribute process improvements ideas to improve TAT, efficiency and reduction of internal errors in work processes.

Process Efficiency/Process Improvements

• Participate in process improvement discussions to improve the turnaround time for BAU processes. 
• Identify operational risks and implement measures/controls to plug the risk gaps so that processes are in line with all internal & external policies/guidelines and requirements of the regulators.

Operational Risk & Compliance

• Work together with Team Lead to ensure that audit rating is “Satisfactory” or better.
• Work together with Team Lead to ensure that CRA rating is at least “On Target” or better.
• Work together with Team Lead to ensure no/minimal operational lapses/financial losses.

Individual Contribution/Competency

• Participate in BCP Coordinator/Risk Coordinator or Data Steward roles.

We are seeking a highly motivated and detail-oriented Property Executive to assist in managing and optimizing a portfolio of properties (residential/commercial/industrial) and evaluating new property development or value-add opportunities. The successful candidate will work closely with property managers, tenants, investors, and other stakeholders to ensure the effective operational and financial performance of real estate assets. This role will assume a blend of administrative tasks, financial and investment analysis, feasibility studies, property management support, and strategy implementation.

1. Key Responsibilities: Property Portfolio Management:

o Assist in managing a portfolio of properties (residential/commercial/industrial).

o Monitor the performance of assets and identify asset enhancement initiatives.

o Support in maintaining accurate property records, including lease agreements, property inspections, and

maintenance schedules.

2. Financial Management and Reporting:

o Assist in preparing budgets, forecasts, related to property assets.

o Analyze financial performance, including income, expenses, and return on investment (ROI) metrics.

o Coordinate with finance teams to ensure timely and accurate rent collections, payment processing, and financial reconciliations.

3. Tenant Relations:

o Serve as a point of contact for tenants regarding queries, complaints, and requests for maintenance.

o Assist in lease negotiations and renewals, ensuring compliance with the terms and conditions.

o Ensure that tenant relations are maintained to foster a positive and long-term occupancy.

4. Leasing and Marketing:

5. Maintenance and Property Upkeep:

o Support in scheduling and overseeing regular maintenance and repairs for properties.

o Ensure compliance with health, safety, and environmental regulations.

6. Risk Management and Compliance:

o Ensure all properties are in compliance with legal, regulatory, and company standards.

o Assist in property inspections and risk assessments to identify areas for improvement or mitigation.

o Help with the management of insurance policies, claims, and other risk-related matters.

7. Administrative Support:

o Handle administrative duties such as preparing reports, correspondence, and filing property-related documents.

o Assist in preparing presentations for internal meetings, stakeholders, or investors.

Requirements:

• Diploma or Bachelor’s degree in Real Estate, Business Administration, Finance, or a related field.
• Proven experience in the real estate or related industry (typically 2-3 years).
• Strong understanding of financial concepts, budgeting and reporting.
• Proficient in financial modelling and conducting feasibility studies.
• Excellent organizational skills and attention to detail.
• Strong communication and writing skills.
• Proficient in MS Office (Excel/PowerPoint/Word); familiarity with property management software is a plus.

Commercial Administrative Support

• Support Commercial lead in accelerating brand visibility and sales development in line with brand objectives and strategy
• Support Commercial lead to ensure a strong field presence and assess brand performance by points of sale and product category.
• To work cross-functionally by coordinating feedback and requests between markets, teams, and AdP HQ.
• Support Commercial lead to ensure Outlook from the markets is constantly updated and respected.
• Review and follow up with precision, completeness & promptness on monthly orders from markets and timely submission to Customer Service for capturing the turnover of the month.
• Communicate updates to retailers on logistic issues/novelty to order monthly & ensure full quantities are being ordered.
• Support in yearly pricing adjustments / increase, novelty reference creation / monthly forecast and analysis and consolidate monthly sell out reports / ad-hoc requests subject to the region
• Monitor Retailer’s Stock by ensuring regular follow-up on the coverage and identifying the level of risky stock to anticipate overstock situation and reduce P&L impact
• Consolidate and update assortments/price lists per region and share them with retailers
• Consolidate and build reports on sell-in/sell-out/market performance to feedback Area Retail Manager, North Asia

Merchandising & Marketing

• Ensure that markets order the necessary VM tools and POSM items for each POS, counter openings, and animations.
• Optimize stock levels and assortments and ensuring no OOS.
• Propose product assortment for new POS opening and streamlining of current assortment to enhance POS productivity.
• Support in marketing operations for Travel Retail such as visual updates and planogram proposals.
• Support in projects such as new POS Opening and mega events by liaising with distributors and HQ with strong coordination and support.
