QUALIFICATIONS AND REQUIREMENTS

• Candidate must possess at least a Diploma or Professional Certificate in Service Management/Accounts or related field with a minimum of 1 to 2 years relevant working experience preferred.

• Proficient knowledge in Microsoft Office (Word and Excel) and use of accounting software.

• Good interpersonal and time management skills.

Job Responsibilities:

• Generate and manage delivery orders and invoices.
• Answer incoming phone calls and handle inquiries.
• Print, sort, and file delivery orders and tax invoices.
• Mail tax invoices to customers.
• Issue debit and credit notes.
• Order office supplies and equipment such as toner, A4 paper, envelopes, etc.
• Send monthly statements of accounts to customers.
• Arrange courier services as required.
• Prepare invoices and packing lists for shipments.
• Consolidate and submit petty cash summaries to the accounts department monthly.
• Respond to sales inquiries and process orders via email or phone.
• Process purchase orders (PO) to vendors.
• Update and follow up on customer orders and outstanding payments.
• Coordinate with customers on goods collection methods and payment details.
• Arrange travel bookings and prepare travel requisition for approval.
• Record cheques and submit vendor invoices to the accounts team.
• Manage and update employee absentees using the Info-Tech system.

Job Requirements:

• At least O-level or ITE with admin experiences

Description

• Attend to customers inquiries on all service features and ensure proficiency in service features.
• Export and import (Air & Sea) document processing.
• Arrange Courier Services with forwarders.
• Arrange booking with FCL and LCL carrier.
• Assign transhipment into export leg consol file in the SAP system.
• Arrange for trucking and loading of container with CFS operator.
• Ensure that all hazardous cargo arrangements and procedures are in accordance with company policy.
• Issuance of BL and shipping certificates as needed.
• Adherence to all destinations' SOPs
• Compliance with irregularity handling procedures with the origin and destinations.
• Ensure that shipment costs are correctly accrued in SAP. Verify vendor/intercompany invoices and file disputes for any that are incorrect.
• Ensure shipment timely invoicing in accordance with company KPIs.
• Ensure that files are checked, updated, closed, and archived accurately within the defined KPIs.
