Overview

Admission and Service Centre (AASC) has a team of financial counsellors who provides timely and accurate financial estimates information on patient’s hospital stay based on treatment or procedure. The role requires you to conduct bedside financial counselling for admitted patients in a consistent and comprehensive manner on estimated/ interim/ finalised medical cost. You will need to assist patients to understand and source for their financing options to reduce their upfront cash burdens by empowering patients to make informed decisions on the level of medical services based on their affordability.

You will be responsible for the following:

Financial Counselling /Admission

• Conduct financial counselling to patient/NOK on the estimated hospital bills, available subsidies and schemes and various modes of payment.
• Assist patients to complete the various modes of payment forms.
• Refer appropriate cases to Business Office/Medical Social Worker for financial assistance schemes that patient may be eligible for.
• Ensure proper documentation and follow up is done for all inflight cases until patient discharge.

Patient Billing Matters

• Schedule service appointments and manage the service workflow.
• Coordinate with technicians to ensure timely and accurate diagnostics and repairs.
• Keep customers informed of the status of their vehicle throughout the service process.
• Review the service and repairs completed with the customer, ensuring satisfaction.
• To act according to the principles of the core processes of After Sales.
• Monitoring the progress on the repairs/service and keep customer updated of the status on the repairs of their car.
• Provide quotations for repair of customer’s car including body/paint repair jobs.

Administration

• Process service orders, invoices, and payments.
• Maintain detailed records of services performed and parts used.
• Communicating with customers for approval to carry out additional repairs on their cars whenever necessary.
• Performs any other ad-hoc duties as assigned by the supervisors.

Job Requirements:

• Relevant experience in Automotive Industry or with automotive technical knowledge will be an advantage.
• Obtain at least Class 3 Singapore Driving License.
• Proficient in spoken & written English and Mandarin.
• Attention to detail and a commitment to delivering high level of customer service.
• Knowledge of automotive repair and maintenance.
• Flexibility to adapt to changing technologies and industry trends.
• Strong organizational, multitasking and communications abilities.

Duties & Responsibilities

• Ensure clinic's operational and procedural area readiness based on desired service standards.
• Assist with smooth patient journey including accurate and timely registration, discharge, appointment bookings, cashiering and any other enquiries such as insurance provider's information for billing.
• Provide chaperone assistance to doctors/nurses and prepare consultation documents
• Attend to any requests, emails and phone enquiries.
• Assist clinic manager in administrative duties
• Perform any other ad-hoc duties and responsibilities that may be assigned from time to time

Requirements

• Minimum GCE “O” Levels qualification or equivalent.
• Proficient in computer skills (Microsoft Office), handling multiple systems such as SAP will be an advantage.
• Team player with good communication, customer service and interpersonal skills. Ability to speak a second language will be an advantage.
• Able to multitask and work in a fast-paced environment.
• Candidates should be comfortable/flexible with working in a hospital setting and in different clinics when needed. Prior experience in hospitality or service industries will be an advantage.
• This is a 2-year contract role, subjected to contract extension or permanent conversion with satisfactory work performance.

Job Description

• Handle calls at all times and charge (wrap up code) accordingly if any
• Act as first point of telephone contact for customer support requests
• Obtain precise customer personal particulars, vehicle registration, car ownership (raise change management form for amendment / update)
• Check for support agreement / warranty validity per local guideline.
• Ensure all inbound/ outbound calls, including customer compliments and complaints logged in CRM system are defined
• Log complete and accurate data within the call logging tool (CRM) and booking appointment (date/time) for all 3 service centres & ensure mobility service are offered to customer at all time
• Provide technical call screening and assign call to the appropriate delivery method and payment type
• Optimise available workshop capacities by effectively assigning work/ cars to each service centres
• Provide customer with call number for follow-up and set customer expectations on the next steps in the service delivery process
• Provide best effort technical advice to customer in a timely and professional manner
• Assist in special product campaign or promotions
• Arrange for airport service, pickup and delivery for customers
• Schedule customers for professional car care services
• To ensure daily service level achievement
• Assist in generating daily, weekly and monthly reports as and when required

Requirements

• Minimum ‘O’ Levels
• Minimum 2 years in Customer Service industry or 2 years in Call Centre support
