Job Scope

GENERAL DESCRIPTION: Ensure customer satisfaction by providing a high level of communication, both internal and external, along with the proper execution of customer orders from initial inquiry through delivery of product on domestic and international sales. The Sales desk must contribute to the planning, direction, and coordination of the sales and customer service efforts of the Company for generating revenue and profits respectively.

DUTIES:

1. Receive inquiries from customers, establish selling price via company pricing policy, prepare and submit tender/ quotation proposals to customer with a high focus on securing the order.
2. Follow up on tender/ quote to determine if they will become orders or lost sales. Provide feedback to management and outside sales for further follow-up.
3. Perform accurate and thorough order entry and assure proper contract review has by performed for each order.
4. Provide manufacturing with a complete and concise order package to ensure all customer requirements will be provided for and assist in scheduling of orders by prioritizing customer delivery requirements as needed.
5. Communicate with customers timely to maintain customer satisfaction throughout job.
6. Provide liaison between outside sales, manufacturing, and customer by keeping close contact with prospective clients throughout sales cycle.
7. Analyze and provide explanations to management when order does meet acceptable levels of profitability.
8. Communicate as needed with inside and outside sales group to promote sales of company’s products and services.
9. Support receivables department as required to ensure payment terms are adhered per contract.
10. Maintains timely and accurate input of quote activity, sales bookings, and department records respectively.
11. Perform job functions in accordance with Vallourec Tube-Alloy’s Standard Operating Procedures.
12. Evaluate standard operating procedures and order entry systems for accuracy and suitability.
13. Dedicate the time required to achieve customer satisfaction and the responsibilities of an Inside Sales Associate, beyond normal work hours, if necessary.
14. Maintain required department documents such as specifications, price list, discount list, customer account list, and any other controlled documents issued to sales.
15. Must be flexible to travel to other locations to assist in workload or attend external training as required.
16. Team Work - Balances team and individual responsibilities; Contributes to building a positive team spirit.
17. Perform other duties as assigned.

AUTHORITIES:

• Direct liaison to Customer from initial enquiry to delivery.
• Formulating pricing and lead time for commercial offers to customers
• First level of review on Customer PO before releasing for scheduling.
• Internal coordination with departments – carries the voice of the customer from order receive to delivery.

• Translating customer pains and market trends to Sales Team to improve and adapt Organization’s offerings

REPORTS TO: Department Supervisor as applicable per facility.

QUALIFICATION/EXPERIENCE:

• Possesses at least a Degree or Diploma
• Minimally 2 years’ experience as inside sales/customer Service function.
• Strong interpersonal and communication skills is desirable
• Well versed in Microsoft Office suite applications
• Fresh graduates with strong analytical and problem solving skills are also welcomed to apply

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before individuals or groups of customers, vendors, licensors, or employees of organization.

Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:
To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Inventory software; Order processing systems and Manufacturing software or equivalent combination. Preferred Knowledge of Microsoft Office products, i.e. Outlook, Word, Excel, and PowerPoint.

Job Purpose:

Outbound Customer Service will be responsible for overseeing all franchise order processing of outbound deliveries, managing exceptions related to outbound deliveries and providing all the necessary details and analysis related to outbound shipments to affiliates.

1. Outbound Management

• To Provide timely Outbound delivery to 3PL (third-party logistics) to facilitate Goods Issue.
• Communication for not available items during outbound delivery creation.
• Manage exceptions related to outbound delivery execution at 3PL, as per agreed procedure and approvals.
• Data validation and recording of all the Outbound raised by 3PL.
• Preparation and circulation of Outbound related dashboard as per agreed timelines.
• Backorder management: open requirement which cannot be serviced during delivery creation, will fall under backorder processing. Outbound analyst to manage Backorder processing as per defined procedure.
• Communication related to Backorder management and Outbound processing to relevant stakeholders.
• Prioritization and scheduling of Outbound deliveries for optimized order to border lead time

• Stop-shipment coordination for Traceability and various analysis

2. Customer complaint resolution:

• Handling of Customer complaints: communication with affiliates and 3PL, complaints
• closure with help of 3PL.
• Record of Credit/debit notes, if any, for affiliate returns

3. Back up for Outbound Analyst

Authorities:

• PO (purchase order) processing process in Ariba

Qualification:

• Preferably Diploma in related field.
• Minimum 1 year experience in Customer service/ Data management.
• Supply chain related educational qualifications and work experience will be preferred.

Technical Skills:

• Excellent analytical ability
• Customer (internal and external) driven approach.
• Good skills in Microsoft Excel and Microsoft PowerPoint.
• Candidates with system Knowledge (SAP/ databases/ Business Intelligence tools) will be preferred
