Key Responsibilities:
1. Office Administration
· Manage daily operations to ensure a professional, efficient, and well-organized office environment.
· Oversee procurement and maintenance of office supplies, equipment, and facilities.
· Develop, implement, and monitor administrative policies, procedures, and systems.
2. Compliance and Regulatory Support
· Ensure the company complies with local regulations, including liaising with ACRA, IRAS, SGX, and other relevant bodies.
· Assist with regulatory filings, corporate secretarial tasks, and preparation of documents for audits and board meetings.
· Stay updated on local regulations to ensure the company's operations remain compliant.
3. Corporate Governance
· Support board meetings, annual general meetings (AGMs), and extraordinary general meetings (EGMs), including logistics, preparation of reports, and minutes.
· Work closely with the Company Secretary to fulfill SGX and ACRA compliance requirements.
4. Financial and Administrative Budgeting
· Oversee administrative budgets, ensuring cost-effectiveness and efficiency.
· Review and negotiate contracts with vendors and service providers to optimize resources.
5. HR and Administrative Support
· Assist in onboarding and offboarding processes, maintaining HR records, and ensuring compliance with Singapore’s employment laws.
· Oversee leave, attendance, and payroll coordination in collaboration with HR.
· Facilitate training and development programs for administrative staff.
6. Vendor and Facilities Management
· Manage relationships with vendors, contractors, and service providers to ensure quality and timeliness of services.
· Supervise office maintenance, renovation projects, and equipment servicing.
7. Event and Meeting Coordination
· Organize company events, meetings, and conferences, including venue bookings, logistics, and catering arrangements.
· Coordinate travel arrangements for employees, executives, and visiting stakeholders.
8. Risk Management
· Develop and implement workplace safety measures and emergency response protocols.
· Handle administrative issues such as facility disruptions or staff-related concerns promptly.
9. Leadership and Team Management
· Lead and mentor the administrative team, fostering a collaborative and efficient work culture.
· Conduct performance reviews and provide constructive feedback to enhance team performance.
10. Other Responsibilities
· Perform any other administrative tasks or special projects as assigned by senior management.
Qualifications and Skills:
Education:
· Bachelor’s degree in Business Administration, Management, or a related field.
Experience:
· 5–8 years of experience in administrative or managerial roles, with prior experience in a listed company preferred.
· Familiarity with SGX compliance and corporate governance standards is an advantage.
Skills:
· Strong knowledge of Singapore’s corporate laws, employment regulations, and compliance requirements.
· Proficiency in administrative software and tools (e.g., Microsoft Office, SAP, or similar systems).
