We are looking for a detail-oriented and committed admin executive to join our team.

Job Description

1) Correspondence With Parents

· Handle all enquiries and student registrations online and offline

· Provide feedback to parents on current students' progress

2) Data Entry

· Prepare the centre’s enrolment on a daily basis

· Maintain and update students' profile

3) Curriculum & Worksheets

· Assist the Academic Department with the assignment of curriculum

· Preparation of worksheets and answer sheets for weekly classes

· Checking and correcting errors in worksheets and answer sheets

4) Upkeeping Centre

· Maintain centre’s common areas in a neat, clean and orderly manner

· Ensure classrooms are clean and well-stocked with materials and stationery

· Any ad-hoc administrative duties as assigned by the Supervisor

Requirements:

· Fluent in Mandarin for communication with parents

· Proficient with Microsoft Office, Microsoft Excel, Wechat, WhatsApp, etc.

· Attention to details

· A team player

· Excellent time management skills and the ability to prioritize work

· Strong organizational skills with the ability to multi-task

· Pleasant inter-personal communication skills

RESPONSIBILITIES

• Responsible for the overall execution of events, including planning, coordination, and execution.
• Work closely with vendors, suppliers, and sponsors to ensure all their needs are met, managing the day-of event operations.
• Ensure that all events meet the client's expectations and budget.
• Maintain accurate records of all event activities and expenses.
• Stay up-to-date on industry trends and best practices.
• Manage any issue that may arise during the event, including resolving conflicts amongst individuals and managing crisis situations.

• At least two years of working experience in a similar position, preferably in an event management or hospitality industry. Fresh graudates are welcome.
• Good interpersonal skills with ability to communicate and collaborate with internal and external stakeholders.
• Service oriented with an eye for details.
• Ability to work effectively and contribute in a team.
• Flexible and able to embrace and respond to change effectively.
• Ability to work independently and has good initiative under dynamic environment.
• Self-motivated and energetic.
• Open to work on weekdays/weekends/public holidays (depending event requirements) when required.

Responsibilities:

• Assist the Project Manager to manage the installation and de-installation of events, exhibitions and permanent displays
• Adhere to project scheduling, including documentation, commissioning & hand-over
• Maintain quality control and liaise with sub-contractors & suppliers
• Adhere to project budget & cost control measures and handle basic cost calculation
• Understand safety, building & regulatory requirements & ensure compliance
• Attend site meetings to take note of requirements
• Administer routine management reporting & updates
• Take ownership and be proactive on assigned tasks

Requirements:

• At least 1-2 years of relevant working experience with proven track records in Events and Exhibition industry
• Technical background with knowledge of structural, AV and M and E preferred
• Meticulous and good planning and co-ordination skills
• Ability to perform under tight schedules and deadlines with minimum supervision
• Motivated, keen to learn, hardworking and a good team player

• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Uses word processing and presentation software to create and edit documents.
• Operates and maintains clinic and office equipment, including digital scanner, imaging machines, compressors, autoclaves, dental units, airconditioners, printers, copiers, and fax machines.
• Works with maintenance staff and outside vendors to ensure clinic and office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
