The Operations Executive (Commercial and Environmental) assists with the management of cleaning operation duties as directed by the manager.

Job Responsibilities:

Manage cleaning services
- Coordinate with supervisor and client to ensure quality service delivery (compiling, analysing, development and review of operation plans to improve work procedures and quality service delivery)
- Ensure cleaning teams adhere to safety measures to during cleaning operation
- Assist in budget planning for cleaning operations
- Review daily cleaning job reports for submission to management

Job Role

Deliver administrative and logistical support to the Peritoneal Dialysis (PD) nursing team in accordance with established policies and procedures, and provide support to the Nursing Admin Team with various administrative tasks

Main Responsibilities

PD Operational Support – Home Support Programme and Clinic

• Liaise with both internal and external stakeholders on operational issues, such as hospital visits and collaborations for PD patient training.
• Manage the administrative process related to the PD programme, including creating and approving new referrals, and coordinating the dropout and transfer of patient treatment modalities.
• Visit patients undergoing training at PHIs to advocate for them and promote programme uptake by going through the NPD service scope with patients, and updating Renal Coordinators and the PD team on the outcomes of the visits.
• Perform monthly Home Visit (HV) reconciliation by checking and verifying all patient HV attendance records.
• Record and maintain detailed records of patient movements and status changes.
• Liaise with PHI Renal Coordinators for the submission of monthly reports, including Risk Assessment Reports and Home Support Assessment Reports.
• Manage stock inventory, including medical items, PPE, and stationery, ensuring adequate supplies are maintained.
• Track and manage assets related to the PD programme.
• Report and monitor MMS (Medical Management System) faults, ensuring timely resolution and follow-up.
• Ensure the proper maintenance and operation of PD clinics, including regular checks and addressing any issues promptly.

Administrative Support to PD Nursing Team

• Accurately and timely update staff training records and details, BCP Emergency Evacuation files, consignment notes, biohazard details, call tree information and any other required information by Nursing Services, Human Resources and other departments.
• Maintain updated records of staff photos, biodata, nursing licenses and certificates in the system.
• Participate in improvement projects and initiatives
• Undertake general administrative tasks as assigned from time to time

Job Purpose

To manage the overall Supply Chain operations in the company:

Core Responsibilities

Procurement

• Source and identify suppliers for direct/indirect materials/services to expand supplier base and for new project/production needs.
• Obtain quotes from newly source suppliers to achieve competitive costing and continuous cost reduction
• Lead in conducting periodic price negotiation with suppliers to ensure competency in cost for materials/services.
• Be part of team to conduct supplier qualification audit as well as parts qualification to ensure suppliers can meet company needs.
• Qualify suppliers once suppliers are selected in order to add suppliers into the Approved Vendor List.
• Conduct supplier performance review on a regular basis to manage supplier qualify and updates on suppliers’ capabilities.
• Maintain standard operating procedures applicable to the Procurement department to ensure work flow process are consistence.
• Develop and negotiate favorable supply agreement with suppliers.
• Work with other department and suppliers to develop appropriate supply chain model to ensure assurance of supplies with minimal inventory holdings

Purchasing

• Develop Purchasing strategy for different categories of supplies to ensure on time order fulfilment with minimum inventory for direct purchases

• Provide periodic alert and updates to customer (internal/external) to ensure any issues/delays are promptly highlighted and necessary actions are taken

Warehousing

• Manage warehouse team to ensure timely receiving/issuance of materials
• Manage warehouse team to achieve order fulfillment requirements specific to all customer

Skills & Experience Required

• Minimum 2 years of related experience in a supply chain management role would be an advantage.
• Work experience in both direct & indirect materials sourcing and purchasing would be an advantage.
• Ariba, SAP knowledge is an advantage.
• Experience with requirements and risk management expectations related to outsourcing and vendor management is an advantage.
